How Do I Search and Filter Workflow Instances

This article will explain how to search and filter your workflow instances on Asite.


Filter Workflow Instances

Users can filter workflow instance records using search and filter options available in the relevant listing area.


Search Workflow Instances

Basic Search

  1. Select the Search box at the top-right of the listing area.

  2. Enter the required search keyword.

The listing is filtered based on the entered search query.


Column Search

For a more specific search, use the search option available in the relevant column header.

  1. Hover over the required column header.

  2. Select the Search icon.

  3. Enter the required search keyword or criteria.

EXAMPLE: To search by workflow name, select the Search icon in the Workflow Name column and enter the required workflow name.


Apply Filters

Multiple filter criteria can be applied to refine workflow instance records.

Workflow Instance Filters

Filter

Description

Completed On

Filters workflow instances completed on a selected date, time, or date range. Available options can be selected using radio buttons, with additional details entered where required.

Name

Filters workflow instances based on the workflow name. Enter a workflow name or keyword in the search field.

Started By

Filters workflow instances based on the users who started the workflows. Users can be searched and one or more users can be selected from the dropdown list.

Started On

Filters workflow instances started on a selected date, time, or date range. Available options can be selected using radio buttons, with additional details entered where required.

Type

Filters workflow instances based on workflow type. One or more options can be selected from the searchable dropdown list.

Available options: App, CustomObject, Document.

Workflow Stage

Filters workflow instances based on the workflow stage. Enter a word or phrase matching the required workflow stage.

Workflow Status

Filters workflow instances based on workflow status. One or more statuses can be selected from the searchable dropdown list.

Available options: Archived, Cancelled, Completed, Failed, Running.
