Search and Filter Workflow Instances

This article helps you understand how to search and filter your workflow instances on Asite.

Users on Asite can filter workflow instance records using different search and filter options in the relevant listing area.

Click the search box at the top right and type in your search query.

To run a more specific search, hover your mouse over the relevant column header and enter or select the necessary search filter criteria. For example, to search for a workflow instance with a workflow name, go to the column header for 'Workflow Name'. Next, do a mouse hover on the column header for 'Workflow Name' and click the search icon next to it, then type the search keyword as required. This will filter the workflow instances with 'Workflow Name' matching the search keyword you entered.

Following is a list of standard filter options for workflow instances with their descriptions.

Name

Description

Completed On

Filter information related to workflow instances completed on a selected time or date range, or a date selected from a calendar.

It populates a list of radio button options for the selected filter from which you can choose any option. You can then enter additional details to filter the list as required.

Name

Enter a workflow name as a search keyword and filter information related to workflow instances with workflow names matching that text.

Populates a text box wherein you can enter the required search content.

Started By

Filter information related to workflow instances started by selected users listed based on their organisation.

It populates a searchable dropdown list of possible or suggested options for the selected filter from which one or more options can be selected individually.

Started On

Filter information related to workflow instances started on a selected time or date range, or a date selected from a calendar.

It populates a list of radio button options for the selected filter from which you can choose any option. You can then enter additional details to filter the list as required.

Type

Filter information related to workflow instances based on their type.

It populates a searchable dropdown list of possible or suggested options for the selected filter from which one or more options can be selected individually.

Available Options - 'App', 'CustomObject', 'Document'.

Workflow Stage

Enter a word or a phrase as a search keyword and filter information related to workflow instances with workflow stage matching that particular text.

Populates a text box wherein you can enter the required search content.

Workflow Status

Filter information related to workflow instances having selected workflow statuses.

It populates a searchable dropdown list of possible or suggested options for the selected filter from which one or more options can be selected individually.

Available Options - 'Archived', 'Cancelled', 'Completed', 'Failed', 'Running'.
