Associate Files with an existing File

This article helps you understand how to associate files from files listing with an existing file.

You can associate files to an existing file and view its references, including parent and child file references. To enable access to the File to File Association Beta version for users in your organisation, please contact Customer Success / Support.

Below are the steps to associate files from the file listing with an existing file:

  1. Go to the default 'Files' view in the 'Files' tab. Select the files to be associated with an existing file.

    • You can use the search and filter options if needed to find the files to be associated.

    • If the files to be associated are from a specific folder, select that folder from the folder tree to see its files in the list.

  2. Right-click and select 'Edit', then 'Start Association'.

  3. A 'File Association' window will appear, letting you pick the file you want to associate the chosen files with (per step 1).

    • You can use the search and filter options if needed to find the files to be associated.

  4. Select the file you want to associate as a parent file to the chosen files and click the 'Associate as Parent' option at the top right.

  5. The 'Attachment & Association' screen will appear. It displays the chosen file and its parent and child associations. Additionally, a message will appear on screen if the association was updated successfully, and all new associations will be highlighted with a green dot icon as displayed in the snapshot below.

    • In specific cases, a file may not be associated. For example, if you attempt to associate with the same file, it will display an error. In such cases, you may try again by selecting a valid file to associate.

    From the 'Attachment & Association' screen, you can also change the associations:

    1. To make the file associated as a child file to a parent file association or to make the file associated as a parent file to a child file association, select the relevant record from the appropriate list using the checkbox option and use the arrow keys to move it around as a parent and child file association.

      1. Clicking the 'right arrow' icon, the selected files from the parent association are moved to the child association.

      1. Clicking the 'left arrow' icon, the selected files from the child association are moved to the parent association.

    2. To remove an association, use the slider at the bottom, drag it towards the right side and click the 'bin' icon.

    3. Click the 'Update' button at the bottom right to apply the changes.

  6. If you are not making any changes, you can close the 'Attachment & Association' window by clicking the 'close' icon at the top right to return to the files listing.
