Assign Your Proxy Access to Users on a Project

This article helps you understand how to assign your proxy access to users on a project.

Pre-requisites:

  • The organisation that owns the project must have an organisational design layout created with the 'Enable Proxy for Users' option set to 'Yes'.

    • As a user belonging to the project's owner organisation, or a user billed to that organisation, you must be allowed to assign a proxy for yourself in that design layout setup.

You can assign your proxy access to any user from the same project. Proxy access functionality enables those users to access a project on your behalf. This can be used for the following scenarios:

  • Holiday Cover - The proxy user can undertake your tasks while you are away.

  • Personal Assistant - The proxy user can receive task items on your behalf.

Note: Certain options, such as project administration, may be unavailable when a user logs in using proxy access, i.e. on behalf of another user. This is meant to prevent platform misuse and ensure its security.

Below are the steps to assign your proxy access in a project:

  1. In the 'Projects' area, navigate to the project where you need to assign your proxy access to a project user.

  2. Right-click on the required project, select 'Roles & Users', then 'Add Proxy User'.

    Alternately, mouse over the project thumbnail in the thumb view and click the

    icon. A layered page opens. Click 'Add Proxy User'.

  3. A layered screen appears with an option to assign your proxy access.

  4. Click the 'Add Proxy User' button to add a blank record. Multiple proxy users can be set for a particular online or paper user.

    • Click the 'Users' box and select the required user from the list of users displayed for every blank record.

      • Select the 'Bulk Apply' checkbox to use the bulk apply options (if required).

    • The 'Always' option will be enabled only when the user type is selected as 'Paper User'. If ticked, selected users will remain proxy users until manually removed.

    • Regardless of the type of user you choose, you can select the 'Start Date' and 'End Date' for all the records and click the 'Apply to All' button to apply the same dates to all the records. You can have different start and end dates for each record.

    • Proxy users can be assigned in two ways:

      • 'For a fixed duration of time' (Selected Dates) - You can select a start and end date as required. A user can be assigned proxy access based on the defined period. Once the end date is reached, they will automatically be removed as a proxy user. Both online and paper users can be assigned proxies for a fixed duration.

      • 'For an indefinite duration' (Always) - Once a user is assigned as a proxy by checking the 'Always' box, the user will remain a proxy until manually removed. Only paper users can be assigned proxy users this way.

    • Select the 'Forward Copy of Email' checkbox against selected or all proxy users to ensure notification emails related to the chosen project in Asite reach the proxy users.

  5. Click 'Save' to complete assigning your proxy access.
