How Do I Access aMail Settings Through My Email in Outlook Web?

Follow these steps to access the aMail settings in Outlook on your web browser:

  1. Log in to Outlook on your web browser

  2. Select the Email you want to save to Asite.

  3. Click on the aMail icon on the top menu bar.

  4. Then select 'Settings' to access the aMail settings.

  5. The aMail panel will open on the right-hand side, providing preferences for how you want to save the email.

TIP: If you can't find aMail on the menu bar, click More apps in the menu bar.


Understanding Save Email Preferences

In the aMail panel, you can choose how emails and attachments are saved:

  • Save email with attachments

    • Saves the email and all attachments in the selected folder. The email is stored as the primary file in Asite with attachments linked as secondary files.

    • Optional: Save attachment as separate file: store the email and each attachment as individual files instead of grouped.

  • Save email without attachments

    • Saves only the email without any attachments.

  • Save attachments only

    • Saves only the attachments without the email.

    • If there are multiple attachments, they are saved as a zip file named after the email subject.

    • Optional: Save attachment as a separate file: saves each attachment individually.


Settings: Select Location

  1. After selecting your email preference, click Choose Location to select where the email will be saved.

2. Use the drop-down to pick from your most recently used or favourite folders in Asite. By default, the top 10 folders from these lists are shown

NOTE: To view all projects in Asite, open the drop-down menu in aMail and select All.


Create a Folder via the Plugin

  • While saving an email to Asite using the plugin, click the + icon on the right side of the folder panel to create a new folder or subfolder directly on the Asite platform.

  • To create a folder, you must have permission to create a folder/subfolder on the Asite platform. To learn more about folder permissions, Click here.

NOTE: When you create a folder or subfolder on Asite using aMail in MS Outlook, the Allow Saving Emails from aMail setting is automatically enabled by default.

When you enable the setting Allow saving emails from aMail while creating/editing any folder, the system also gives you an additional setting of Process Emails for Machine Learning. When enabled, this setting allows AI and LLM to read and analyse the emails saved in that folder, improving how information is processed and retrieved.

Enabling this option improves search accuracy and relevance, making it easier to quickly find the information you need.

You will also be prompted to enable this setting when creating a new folder through aMail in Outlook.

NOTE: To enable Process emails for Machine Learning, the organisation associated with the project must have permission to use AI and machine-learning tools to read and analyse data stored on the Asite platform. Without this organisational approval, the option will not be available.
