aMail – AI Suggestions Feature for Email Filing

What is it?

The new AI feature in aMail uses a machine-learning-powered suggestion feature that helps you save emails more quickly and accurately. When you save an email from your Outlook inbox to the Asite Cloud, the system will analyse your past filing behaviour and suggest the folder where you are most likely to save this email.

Why does it matter?

Manually locating the correct folder to save each email can take time and interrupt your workflow. With this intelligent suggestion feature, you can:

  • Save emails faster.

  • Reduce the time spent searching through long folder lists.

  • Rely on a system that learns your habits and adapts over time.

What can you do with it?

  • Access a new 'Suggested' tab alongside the existing Recents and Favourites tabs when you click 'Save to site'.

  • See recommended folder locations based on your prior usage, email subject, sender, and content.

  • Select the suggestion and save your email with one click.

How does it work?

  • The system monitors where you save emails over time, capturing patterns such as subject lines, content context, and destination folders.

  • It calculates a ‘likelihood parameter’ for eligible folders when you save a new email and lists suggestions ranked by that score.

  • The feature respects file-level access control (ACL): the system only considers email-saving activity and folders that you have permission to access, ensuring your private and restricted items are not used in suggestion modelling.

  • In future releases, administrators will be able to enable or disable machine-learning processing at the folder level, giving more granular control.

NOTE: The AI feature is only enabled for organisations that consent to data processing for machine learning. If your organisation has not given consent, only the Recents and Favourites tabs will appear (no Suggested tab).

Getting started

  1. Confirm whether the organisation owning the project has enabled the AI suggestion feature.

  2. When creating a folder enable the settings of Allow saving emails from aMail and Process emails for Machine Learning to let the platform read and analyse the emails.

  3. When saving an email via aMail, look for the 'Suggested' tab next to 'Recents and Favourites'.

  4. Select a suggested folder (or browse manually if needed), then save the email.

  5. As you continue saving emails, the suggestions will become more personalised and helpful.
