Vectorising Projects and Folders

This article will explain how to vectorise one or more projects for use in eDiscovery and DeepDive.


What is Project Vectorisation?

Project Vectorisation is a background process that prepares Project documents for use by Cognitive CDE (AI Agents).

During this process, Cognitive CDE:

  • Breaks Project files into smaller sections

  • Converts them into a format that AI can process

This enables Cognitive CDE to:

  • Find relevant information faster

  • Understand the context of queries, not just keywords

  • Provide more accurate and meaningful responses

Provides administrative control over Cognitive CDE settings and configuration.

Can Access Cognitive CDE

Allows users to access and use Cognitive CDE features.

NOTE:

  • Only users with Cognitive CDE-Admin privilege can vectorise or remove Projects from AI processing. Changes will apply to all users with the Can Access Cognitive CDE privilege.

How Do I Vectorise Projects or Folders?

  1. In the Project Filter, select the Projects to vectorise.

  2. Navigate to the Files tab.

  3. Select the Cognitive CDE sub-tab.

  4. Click Add Projects/Folders.

  5. Confirm the Project selection.

    • To exclude a folder or subfolder from vectorisation, clear its check box.

    TIP: Excluded folders or subfolders can be vectorised later by following the same steps.

  6. Click Next.

  7. Select the preferred LLM (Large Language Model):

    • Google AI

    • Microsoft Azure

  8. Click the checkbox to confirm that the terms and conditions have been read and understood.

  9. Click Make available for AI.

    NOTE: When vectorising folders within a Project that has already been vectorised, the LLM selection, terms and conditions confirmation, and Make Available for AI steps are not required.

  10. The application will then begin preparing the Project or folder data for AI processing. This may take a few minutes.

    • To check the progress, hover over the green icon (top-right).

    • To cancel the vectorisation process, click the cross icon.

  11. Once processing is complete, the Projects or folders will be available in Cognitive CDE.

NOTE: Cognitive CDE does not provide additional Project access. Users can only access Projects they are already authorised to view in Asite.

TIP: To switch Projects, select the required Project from the top bar.


How Do I Delete Projects from AI?

Removing a Project from Cognitive CDE permanently deletes all AI-generated chats and history for that Project. The Project itself remains unchanged in the CDE.

NOTE: The purge process is the same in both eDiscovery and DeepDive.


Delete Projects From AI

  1. In either eDiscovery or DeepDive, click the Settings(cog) icon (top-right).

    • eDiscovery:

    • DeepDive:

  2. From the pop-up, select Advanced Settings.

  3. Select the Projects you want to remove from Cognitive CDE.

  4. Click Remove Project.

  5. Confirm by clicking Permanently Remove Project.
