Process Tasks in Bulk

This article will explain how to batch process task management options in Files Distribution, including clearing, delegating, deactivating and reactivating tasks.

How Do I Process Tasks in Bulk?

  1. Select the required Project.

  2. Navigate to the Files tab.

  3. Click the Distribution sub-tab.

  4. Select the tasks you want to process in bulk.

  5. Click the More Optionsicon (top-right).

  6. Choose one of the following actions:

    • Clear Tasks

    • Delegate Tasks

    • Deactivate Tasks

    • Reactivate Tasks

NOTE:

  • You can process up to 250 records at a time.

  • Batch processing is only available for tasks created within the same project; cross-project batch processing is not available.

TIP: You can also perform batch processing by right-clicking on the selected tasks.


Clear Tasks

Description

Can Clear Tasks - Own

Allows clearing of personal tasks.

Can Clear Tasks - Organisation

Allows clearing of tasks created within the user's organisation.

Can Clear Tasks - Workspace

Allows clearing of tasks across the entire project, regardless of which organisation a user is from.


Clearing the Tasks

  1. Follow the steps above to access batch processing options.

  2. Select Clear Tasks.

  3. A confirmation message will appear showing the number of successfully cleared tasks.


Delegate Tasks

Description

Can Delegate Tasks - Own

Allows delegation of personal tasks.

Can Delegate Tasks - Organisations

Allows delegation of tasks within the user's organisation.

Can Delegate Tasks - Workspace

Allows delegation of tasks across the project, regardless of which organisation a user is from.


Delegating the Tasks

  1. Follow the steps above to access batch processing options.

  2. Select Delegate Tasks.

  3. A pop-up will appear prompting you to:

    • Assign a new user for the selected task.

    • Set or adjust the due date.

  4. Click Continue to complete.


Understanding Delegate Tasks Inputs

Enter the user to whom the tasks will be delegated.

Date

Choose how to handle task due dates:

  • Existing Due Date: Keep the current due date.

  • Recalculate Days by Actual Distribution: Recalculate based on task duration from the new assignment date.

  • User Definition: Manually define a new due date.

    • Slide the control all the way to the right to open the calendar and select a new date.


Deactivate Tasks

Allows deactivation of tasks within the user's organisation.

Can Deactivate Document Tasks - All Orgs

Allows deactivation of tasks across all organisations on the project.


Deactivating the Tasks

  1. Follow the steps above to access batch processing options.

  2. Click Deactivate tasks.

  3. A confirmation message will appear showing the number of successfully deactivated tasks.


Reactivate Tasks

Can Reactivate Document Tasks - Own Org

Allows reactivation of tasks within the user's organisation.

Can Reactivate Document Tasks - All Orgs

Allows reactivation of tasks across all organisations in the project.


Reactivating the Tasks

  1. Follow the steps above to access batch processing options.

  2. Select Reactivate Tasks.

  3. A confirmation message will appear showing the number of successfully reactivated tasks.

NOTE: The Reactivate Tasks option remains greyed out until there are deactivated tasks within your project. If no tasks have been deactivated, this option will not be clickable.
