How Do I Access aMail Settings Through My Email?
Since there are two ongoing versions of Outlook for Windows Desktop, follow the steps for your version.
Method 1: Clicking Into the Email - Old Outlook
Open Outlook and select the email you want to send to Asite.
Click the three dots in the top-right corner.
Scroll down and select Settings.
The aMail panel will open on the right-hand side.
Method 1: Clicking Into the Email - New Outlook
Open Outlook and select the email you want to send to Asite.
Click the Apps button in the top-right corner.
From the pop-up menu, select aMail.
In the new pop-up, click Settings.
The aMail panel will open on the right-hand side.
Once you've reached this area, regardless of the Outlook version you're using, the following steps can be replicated for both:
Click Choose Location to select where the email will be saved.
Use the drop-down to pick from your most recently used or favourite folders in Asite. By default, the top 10 folders from these lists are shown.
NOTE: When you log in to aMail via your Outlook for Windows Desktop for the first time, the aMail Settings panel will open automatically so you can set your default preferences.
Understanding Save Email Preferences
In the aMail panel, you can choose how emails and attachments are saved:
Save Email with Attachments
Saves the email and all attachments in the selected folder. The email is stored as the primary file in Asite with attachments linked as secondary files.
Optional: Save attachment as separate file: store the email and each attachment as individual files instead of grouped.
Save Email Without Attachments
Save Attachments Only
Saves only the attachments without the email.
If there multiple attachments, they are saved as a zip file named after the email subject.
Optional: Save attachment as separate file: saves each attachment individually.
Creating a Folder Via the Plugin
To create a folder via aMail in MS Outlook, click the plus + icon on the right side of the folder panel.
This allows you to create a new folder or subfolder directly on the Asite platform.
To create a folder via the plugin, you must have the necessary permissions on the Asite platform. To learn more about folder permissions, click here.
NOTE: When you create a folder or subfolder on Asite using aMail in MS Outlook, the Allow Saving Emails from aMail setting is automatically enabled by default.
When you enable the setting Allow saving emails from aMail while creating/editing any folder, the system also gives you an additional setting of Process Emails for Machine Learning. When enabled, this setting allows AI and LLM to read and analyse the emails saved in that folder, improving how information is processed and retrieved.
Enabling this option improves search accuracy and relevance, making it easier to quickly find the information you need.
You will also be prompted to enable this setting when creating a new folder through aMail in Outlook.
NOTE: To enable Process emails for Machine Learning, the organisation associated with the project must have permission to use AI and machine-learning tools to read and analyse data stored on the Asite platform. Without this organisational approval, the option will not be available.
