Define Configurable Attributes in a Project Template

This article will explain how to access and manage configurable attributes within a project template.

What are Configurable Attributes?

  • Configurable attributes are user-defined fields that can be applied to specific folders or across all folders within a project template, depending on configuration.

  • They allow teams to capture consistent, structured information while maintaining flexibility across different folder requirements.

Admin

Provides full control over the project template configuration, including template settings, folder structure, configurable attributes, file and form statuses and access permissions.

TIP: Admin permission must be assigned to the user, user's organisation or a user group the user belongs to.


How do I Access Configurable Attributes Within a Project Template?

  1. Select Project Templates from the Projects dropdown.

  2. Navigate to the Projects tab.

  3. Access Configurable Attributes:

    • In List View:

      • Right-click the required Project Template.

      • Select Edit > Configurable Attributes.

    • In Thumbnail View:

      • Click the Cogicon in the Project Template thumbnail.

      • Click Configurable Attributes.

The configurable attributes configuration screen will open.


Configuration Screen Overview

The configuration screen contains two sections.


Navigation Panel

The navigation panel provides access to:

Option

Description

Attributes Library

Displays all configurable attributes created within the project template.

Attribute Sets

Displays groups of attributes that can be assigned within the template.


Attribute Library

The main panel displays a list of attributes. Within the Attributes Library, the following fields are displayed:

Description

Attribute Name

Name of the attribute

Control Type

Input type used to capture the attribute value (e.g., dropdown, radio, date picker).

Mandatory

Indicates whether the attribute must be completed.

Status

Shows whether the attribute is active or inactive.

Attribute Set

The attribute group the attribute belongs to.


Attribute Library Actions

The Attributes Library allows the following actions:

Action

Description

Edit an Attribute

Select an attribute from the list to edit it.

Create an Attribute

Click Create Attribute (top-right) to create a new configurable attribute.

Export Attributes

Click Export (top-right) to export all attributes to Excel.

Three-Dot Menu

Access additional actions such as exporting the values of the selected attribute (available only for multi-list attributes, such as dropdown or multi-selection fields) or viewing the audit history.

Attribute Sets

Selecting Attribute Sets displays all attribute sets configured in the project template.

Fields

Descriptions

Set Name

Name of the attribute set.

Default

Indicates whether the set is marked as default.

Status

Indicates whether the attribute set is active or inactive.

Locations

Displays the folders or areas where the set is applied.

Hierarchy

Indicates how many attribute sets are linked together for the refined display of attribute values when uploading a file.


Attribute Set Actions

The Attribute Sets page allows the following actions:

Description

Edit an Attribute Set

Select an attribute set from the list to edit it.

Create a New Attribute Set

Click Create Set (top-right) to create a new attribute set.

Export Attribute Sets

Click Export (top-right) to export all attributes sets to Excel.

Access Additional Actions

Click the three-dot menu next to the required attribute set to access actions:

  • Edit Hierarchy

  • Edit Publish

  • Audit History
