Associate Files and Placeholders when Creating Placeholders

This article helps you understand how to associate existing files and placeholders from your project when creating placeholders.

Updated today

You can associate existing project files and placeholders (from the same or other projects you can access) with the placeholders you create. Before you start, please ensure that the files and placeholders you want to associate are part of the projects selected in your filter.

To enable access to the File to File Association Beta version for users in your organisation, please contact Customer Success / Support.

Below are the steps to associate existing project files and placeholders when creating placeholders:

  1. Follow the steps to create a new placeholder or, if applicable, for an existing revision.

  2. On the 'Create Placeholder' window, navigate to the 'File Association' column and click the 'Select File(s)' option against the placeholder for which you will associate other files and placeholders.

  3. A layered screen will appear where you can select files and placeholders to associate from the same or other accessible projects. Using the search filters at the top, select the files and placeholders that need to be associated and then click 'Associate and Close' to proceed.

    • If you must associate multiple files and placeholders by navigating to separate folders, use the 'Associate' button to associate selected files and placeholders in the current folder. Then, navigate to the other folders individually and associate other files and placeholders accordingly. Once done, click 'Associate and Close'.

  4. The associated files and placeholders will appear in a separate layered screen called 'Associations'.
All the files and placeholders you select for association are added to the 'Child Association' list by default.

From the 'Associations' screen, you can also change the associations:

    1. To make the file associated as a child file to a parent file association or to make the file associated as a parent file to a child file association, select the relevant record from the appropriate list using the checkbox option and use the arrow keys to move it around as a parent and child file association.

      1. Clicking the 'right arrow' icon, the selected files from the parent association are moved to the child association.

      1. Clicking the 'left arrow' icon, the selected files from the child association are moved to the parent association.

    2. To remove an association, use the slider at the bottom, drag it towards the right side and click the 'bin' icon.

  5. Once done, click 'Update' to confirm the association. You will be taken to the 'Create Placeholder' screen.
The 'File Association' column will show the count of files and placeholders selected for the association.

You can click on it to open the 'Associations' screen and view the files and placeholders you had selected to associate.
Suppose more files and placeholders need to be associated; you can click the '+' icon next to the associations count and repeat the steps (per step 3 above) by selecting additional files and placeholders.
