What are the Prerequisites to Create a File Using Microsoft Office?

Before you start creating a file using Microsoft Office, you need to ensure that the following conditions are met:

Role Privilege

User must have the Can Create Files from Document Templates privilege

Subscription

User must have an active subscription for the aDrive Desktop app

System Privilege

User must have O365 system privilege

Folder Permissions

User must have one of the following permissions on the folder where the file will be published:

  • Publish

  • Publish & Link

  • Admin

[NOTE: Folder-level permissions defined at the Default or Role level can be overridden by user-level permissions.]

Permission on File Template

The user must have permission on the specific file template.

Note: Only organisation-level Admins authorised by Asite can add and access templates. They are the ones who can grant other users access to the file templates. To access File Templates in the Admin tab, contact Asite support.


How Do I Create a File from an Existing File Template Using Microsoft Office 365?

To create a file from an existing file template using Microsoft Office 365, follow the steps below:

  1. Select the required project.

  2. Navigate to the Files tab.

  3. Go to the folder where you wish to create the file.

  4. Click the Upload button and then select the "Create File" option.

  5. A pop-up window will display the list of existing file templates to choose from. By default, the file templates are displayed in a list format. However, you can switch to a thumbnail view by clicking the thumbnail icon at the top right corner (the icon's appearance changes based on the current view). Search the required file template by entering its name into the search bar.

  6. Click the chosen file template, and in the pop-up, select Create with Microsoft Word. If the file preference for the user is set to Microsoft 365 Web, only the section of Create with Microsoft 365 Web will be visible. Click here to learn how to select File Preference.

  7. Enter the file's name and click on the Create file button.

This will create the file as per the selected template and open it in a new tab. You can edit the file as required, and the changes will be saved and synced in real time.

Note: Once the file is created, it is saved as a draft. After you are done editing, you can publish the document from the files tab. Click here to learn more about how to publish an edited file.
