Administrators can control which folders are available for saving emails via the aMail plugin in Asite. This added layer of control improves security by ensuring emails can only be saved to approved folders.
Even if a user has access to a project they cannot save emails to a folder unless it has been enabled for aMail.
How Do I Enable Folders to Save Emails to Asite Via aMail?
Select the required Project.
Navigate to the Files tab.
Select the subfolder you want to enable for aMail.
Right-click the subfolder and select Edit Folder.
In the pop-up, check the Allow saving emails from aMail option.
When you enable the setting Allow saving emails from aMail while creating/editing any folder, the system also gives you an additional setting of Process Emails for Machine Learning. You can enable it to allow AI and LLM to read and analyse the emails saved in that folder, search accuracy and relevance, making it easier to quickly find the information you need.
Click Update (bottom-left).
NOTE: To enable Process emails for Machine Learning, the organisation associated with the project must have permission to use AI and machine-learning tools to read and analyse data stored on the Asite platform. Without this organisational approval, the option will not be available.
How Does This Work?
Once a subfolders have been enabled for aMail, users can successfully save emails to that subfolder using the aMail plugin. When enabled correctly, the email will be saved without any errors.
If a subfolder has not been enabled for aMail, users will receive a No Access error message when attempting to save an aMail. This will occur even if the user has access to the subfolder.

NOTE: If you create new project folders directly from aMail, the aMail setting is enabled by default for those folders.
