Publish a File

This article will explain various methods on how to publish files on Asite.

With Asite, users can publish files using several methods:

  • Publishing files normally using the Upload button in the Files tab.

  • Publishing files without entering additional information using Simple Upload.

  • Publishing files by dragging and dropping them directly into the destination subfolders.


Prerequisites

Folder Permissions

To publish any file regardless of the method used, you need one of the following permissions on the destination folder:

Can view, publish, and link files (including files on placeholders) across projects.

Admin

Provides full administrative rights: edit, publish, link, check files in/out, view private files, and apply activity locks.

The project folder must have the Enable Simple Upload setting turned on.

Removed Attributes

If attributes are defined within the folder where you want to enable Simple Upload, you must remove the default attributes from that folder before the Simple Upload method can be enabled.

How Do I Enable the Simple Upload Option on a Folder?

  1. Select the required Project.

  2. Navigate to the Files tab.

  3. Select the required subfolder where you want to enable the Simple Upload option.

  4. Right-click the subfolder and select Edit Folder.

  5. In the Settings area, locate the Enable Simple Upload option.

  6. Tick the checkbox to enable it.

  7. Click Update to save your changes.


Removing Attributes to Use Simple Upload

  1. Select the required Project.

  2. Navigate to the Projects tab.

  3. Right-click the project and hover over Settings > Configurable Attributes.

  4. In the new window, switch to the Attribute Sets tab.

  5. Find the required attribute set and click Edit (far-right).

  6. Under the attribute set, locate the Status and Default options.

  7. Set Default to No.

  8. At the bottom of the Manage Attributes Set page, review the folder structure.

  9. Blue ticks next to folders indicate where the selected attribute set is currently active.

  10. Untick the folder where you want to enable Simple Upload method.

    • This ensures the attribute set will not appear for files uploaded to that folder.

  11. Click Save to confirm your changes.

NOTE: If a folder appears greyed out within the folder structure, it means it's using a different attribute set. To modify it, return to the Configurable Attributes window and view all available attribute sets for the project.

TIP: For subfolders within the project, click the plus + icon next to a folder to expand its structure and locate the subfolders where you want to remove the attribute set.


How Do I Upload a File via the Simple Upload Method?

  1. Select the required Project.

  2. Navigate to the Files tab.

  3. Select the subfolder you'd like to publish your file in.

  4. Click the Upload dropdown (top-right) and select Files.

  5. In the pop-up window, either:

    • Click Select File(s) (bottom-left) to choose files manually, or drag and drop files into the Drag Files Here area.

  6. Click Upload to publish the selected files.

NOTE: In the case of Simple Upload, certain file attributes are automatically set by the system:

  • Doc Ref and Doc Title - based on the file name.

  • Default Status and Default Purpose of Issue - based on project configuration.

  • File Privacy - based on project and folder settings.

How Do I Upload Files?

  1. Select the required Project.

  2. Navigate to the Files tab.

  3. Select the lowest-level folder where you want to publish the files.

  4. Click Upload (top-right).

  5. Select Files.

  6. In the pop-up, click Select File(s) (bottom-left).

  7. Choose the file(s) from your local drive.

  8. Fill in the required attribute details.

  9. Click Upload (right-hand side).

NOTE:

  • You cannot upload a file while you are in the Project folder (the top-level folder).

  • You must select a subfolder to upload files.

  • At the Project folder level, you will only see the option to upload a folder, not a file.


How Do I Upload Files Via the Drag and Drop Option?

  1. Select the required Project.

  2. Navigate to the Files tab.

  3. Select the subfolder where you want to publish the files.

  4. Drag and drop one or more files into the designated drop area that appears on the screen.

    • If the folder is enabled for Simple Upload, the files will publish immediately without any additional steps.

  5. Input the required attributes, click Upload to finalise publishing.

NOTE:

  • If the name of any file selected for publishing matches the name of an existing file in the chosen project folder, it is considered a revision of that file.

  • Once a file is uploaded, it cannot be deleted from the CDE environment. However, you can deactivate it if needed.

TIP:

  • To remove one or more selected files from the upload list, click the cross × icon next to each file name.

  • To publish more files, click Select Files and choose the files from your device.
