My Reports

This article explains how to edit and schedule reports using 'My Reports'.

Users can edit and schedule reports on which they have required access using the 'My Reports' list that appears by default when navigating to the 'Reports' tab. This tab replaces the legacy reports; existing reports will be shown here.

Users can view all their reports by default under 'My Reports'. Also, you can navigate to the 'Templates' tab in the left-hand menu to see the Asite standard report templates. You can then create a new report or copy from the templates and redesign it as needed.

To edit and/or schedule a standard report, the user needs to right-click on it to duplicate it, save it in 'My Reports' and then schedule it. Then, follow the steps mentioned below.

1. Navigate to the 'Reports' tab. By default, you can view the 'My Reports' reports listing along with basic report details like owner, date, and type.

2. Search for the report you need to edit and schedule using the search box.

3. Alternatively, you can also use filter options to filter reports.

4. To edit and schedule a particular report, click the icon next to the report name or right-click and select schedule report.

5. Now you will see a new pop-up screen for 'Edit and Schedule' which allows you to schedule this report.

6. The first section is about basic report information, which allows you to change the following details about the report:

Report Owner - Organisation, User
Report Name - Name of the report
Report Format - HTML, MS XLS, PDF, CSV and RTF
Report Status - Active, Inactive and Delete
Frequency - Daily, Monthly or Yearly
Report Delivery Time - HH:MM (Data Center Time zone applies here, for UK it's Europe/ Lisbon)

7. The second section outlines the criteria for the report, namely, to define the projects from which the selected report must be generated.

Project Filter - This option ensures that the report will show data from all the projects filtered using the project filter on the dashboard.
Selected Projects - This option allows you to select the required projects from a dropdown list, and the report will show data based on the selected projects.

8. The third section is for report access rights, i.e. which user groups, organisations, and users have:

'No Access' on this report.

'View' permission on this report.

Permission to 'Schedule' this report.

'Delegate' Permission for this report.

'Admin' rights on this report.

8a Search for user groups, organisations and users, key in the required value and click search.

8b Once you get the search results, select the user group, organisation or users and click 'Add Selected' against the permission you want to assign.

8c This is the process of sharing a report with other users. You can click 'Save and Close' to share the report and choose not to schedule it.

9. This section is for the report delivery schedule. You can email the report, select a project, and save it in a folder.

9a Select a Folder - Click the 'Folder' link and select a project and its folder where you want the report to be saved.

Since the report is being published as a document in a project folder, you must select the document attributes. If needed, to publish the report as a private document, select the 'Private' checkbox.

Now click 'Next' to continue.

After capturing attributes, you need to select the Distribution for this report, i.e. share the report and assign actions to users.

Click 'Distribute' to continue.

9b Email the Report - Click 'Email' and select recipients for this report in the email.

Select user records and click 'Add to Distribution List'.

Click 'Add External User' if you want any external user to receive this report via email.

10. Select 'Send Now' to send the report immediately. Click 'Save' to save the details, and click 'Save & Close' to complete.

Any reports created and shared with you by other users will be available separately by clicking the 'Shared Reports' link.

Right-click the name of the shared report to run, export it in available file formats, or duplicate the selected report and save its copy in your report folder under 'My Reports'.
