This article explains how to edit and schedule reports using 'My Reports'.

Users can edit and schedule reports on which they have required access using 'My Reports' list that appears by default when navigating to the 'Reports' tab. This tab replaces the legacy reports and existing reports will be shown here.

Users can view all their reports by default under 'My Reports'. Additionally, you can navigate to the 'Templates' tab in left hand menu to view the Asite standard report templates. You can then create a new report or copy from the templates and redesign it as needed.
Note: As per a product update on 17th September 2021, 'Edit and Schedule' option which used to appear in the left hand menu of 'Reports' tab is now renamed to 'My Reports'. Additionally, 'Reports' option which used to appear as a left hand option in 'Reports' tab is now renamed to 'Templates' and it will appear as a second option instead of the first. Please note here that all the steps to manage reports would remain same except the left hand menu selection.

To edit and / or schedule a standard report, user needs to first right click on it to duplicate it and save it in 'My Reports' and then schedule it. Please follow below steps to edit and schedule a report.

1. Navigate to 'Reports' tab. By default, you can view 'My Reports' reports listing along with basic report details like owner, date and type.

2. Search for report which you need to edit and schedule, to do this you can use the search box to search a report.

3. Alternatively you can also use filter options to filter reports.

4. To edit and schedule a particular report click on icon next to the report name or do a right click and select schedule report.

5. Now you will see a new popup screen for 'Edit and Schedule' which allows you to schedule this report.

6. The first section is about basic report information, which allows you to change the below details about report:

Report Owner - Organization, User
Report Name - Name of the report
Report Format - HTML, MS XLS, PDF, CSV and RTF
Report Status - Active, Inactive and Delete
Frequency - Daily, Monthly or Yearly
Report Delivery Time - HH:MM (Data Center Time zone applies here, for UK its Europe/ Lisbon)

7. The second section is for report criteria i.e. report should contain data from which projects.

Project Filter - This option ensures report will show data from all the projects which are filtered using project filter on dashboard
Selected Projects - This option allows you to manually select projects from a dropdown list and report will show data from selected projects

8. The third section is for report access rights i.e. which user groups / organizations / users have:

'No Access' on this report

'View' permission on this report

Permission to 'Schedule' this report

'Delegate' Permission for this report

'Admin' rights on this report

8a Search for user groups, organizations and users, key in required value and click on search.

8b Once you get the search results, select the user group, organization or users and click 'Add Selected' against the permission you want to assign.

8c This is the process for how to share a report with other users, you can click on 'Save and Close' to if you just wanted to share the report and not schedule it.

9. This section is for report delivery schedule, you can choose to email the report and select a project and save it in a folder.

9a Select a Folder - Click on 'Folder' and Select a project then select a folder in which you want the report to be saved

As the report is being published as a document in a project folder, you need to select the document attributes. Select the private checkbox if you need the report to be published as a private document.

Now click on 'Next' to proceed ahead.

After capturing attributes you need to select the Distribution for this report i.e. distribute this report and assign actions to users.

Click on 'Distribute' to proceed ahead.

9b Email the Report - Click on 'Email' and select recipients for this report in email.

Select user records and click on 'Add to Distribution List'.

Click on 'Add External User' if you want any external user to receive this report in email.

10. Select 'Send Now' to send the report immediately. Click on 'Save' to save the details, click on 'Save & Close' to complete.

Any reports that are created and shared with you by other users will be available separately by clicking on 'Shared Reports' link.

Right click on the name of shared report to run the report, export it in available file formats, or duplicate the same and save its copy in your own report folder i.e. 'My Reports'.
