‘Supplementary ITT’ form enables tender team to send invitation to other users who were not sent an invitation earlier. Users having ‘Tender Team’ role can create this form by navigating to ‘Procurement’ tab.
Below are the steps to add ‘Supplementary ITT’:
1. Once logged in to Asite, go to the ‘Procurement’ tab and select the project in which form is to be created.
2. Expand the ‘Tender Manager’ form group and select ‘Supplementary ITT’ form type.
3. Click on ‘+’ button available at top right.
Alternately, ‘Supplementary ITT’ form can be created directly while viewing the ‘Invitation to Tender’ form.
4. It will open the ‘Create Form’ screen as shown below:
Given below is a description of all the fields available in ‘Supplementary ITT’ form. Click on a link below to continue:
1. Package
Description - Select from list of available values in dropdown. Only ‘Open’ tender packages will appear in this list.
2. Organization & User
Description - Form can be distributed to any of the existing project team members registered on Asite.
First dropdown stands for the name of organization in which concerned user belongs. Second dropdown stands for the name of user. The ability to select additional users from same organization or not depends on the configurable attributes set on the project.
Values in the dropdown are configurable using project roles. Please contact your project administrator in case required organization and / or user is missing from the list.
3. Add New User
Description - Click to enter additional users for distribution if any.
4. Distribute
Description - Click to distribute this form to other users if required.
5. Attachment
Description - Click to upload an external file if applicable.
6. Associate Docs
Description - Associate an existing project file to this form if applicable, from the same or other project based on user access.
Once done, click ‘Send’ to complete creating the ‘Supplementary ITT’. Click ‘Save Draft’ to save the form in draft mode if required.
Users selected as recipients will be added to the distribution list and each of them will get a ‘For Information’ task.
