Change Status of a Form

This article helps you understand how to change status of an existing form.

Form viewer allows you to change the form status if you have required role privileges for the same.

If form permission 'Restrict Status Change in View Form' is set to 'Yes', any form type users will not be able the change the status of a form while viewing it and by selecting multiple forms in the forms listing page even if users have 'Can Batch Status Change – All Forms' & 'Can Batch Status Change – Own Forms' role privileges. Additionally, users cannot re-open closed forms while viewing them and by selecting multiple forms in the forms listing page even if they have 'Can Re-Open All Closed Forms – Admin' & 'Can Re-Open Closed Forms' role privileges.

If form permission 'Restrict Status Change in View Form' is set to 'No' then users can change form status as per the role privileges they have. Essentially this means form settings override the role privileges.

1. Follow the steps for opening the form in the viewer.

2. Click the status dropdown to change the form status.

Based on form settings configuration and required role privileges, you can also change the status of a form directly from the forms listing view under the 'Project Forms' tab. To do this, right-click on a form and select 'Edit > Status' as shown in the below screenshot. Click here for detailed help on batch status changes in forms.

Alternatively, you can click on any of the pending 'Assign Status' tasks if assigned to you from the forms listing view under the 'Project Forms' tab (under the 'My Tasks' column) to change the status of a form.


3. A popup screen will appear. The current status for the selected form will show along with a dropdown using which you can assign the new status. In the 'Reason' box, enter a reason for the status change.

The 'Status Change' window contains:

Status Change Dropdown - Select the status from a dropdown list. The list of form status options is available subject to form settings.

Reason for Status Change Notes - To specify status change reason. This is a mandatory field.

Notify all Users in Distribution list - To notify all users (available in the distribution list) about this specific status change.

Form Tasks - To view the form tasks distributed.

4. Click 'Save' to confirm the changing of the form status.
