Batch Status Change

This article helps you understand how to perform batch status change on your forms in Asite.

Users on Asite having required privileges can change status in batches by selecting multiple forms from the same project, using the right-click options on forms in the Apps view. Please note that a user will need to have the 'Batch Status Change' privilege enabled or need to be the originator of the forms to perform status changes of forms in a batch.

1. To change the form status, right-click by selecting forms in batch on the listing area and select the 'Edit > Status' option.

If form permission 'Restrict Status Change in View Form' is set to Yes, any form type users will not be able the change the status of a form while viewing it and by selecting multiple forms in the forms listing page even if users have 'Can Batch Status Change – All Forms' & 'Can Batch Status Change – Own Forms' role privileges. Additionally, users cannot re-open closed forms while viewing them and by selecting multiple forms in the forms listing page even if they have 'Can Re-Open All Closed Forms – Admin' & 'Can Re-Open Closed Forms' role privileges.


If the form permission 'Restrict Status Change in View Form' is set to No, users can change form status as per the role privileges they have. This means form settings override the role privileges.

2. A pop-up will appear, allowing you to change the status for selected forms.

The form status change window contains:

Status Change Dropdown - Select the status from the dropdown list. The list of form status options appears, subject to form settings.


Reason for Status Change Notes - To specify the status change reason. This is a mandatory field.


Notify all Users in Distribution list - To notify all users (available in the distribution list) about this specific status change.


Form Tasks - To view the form tasks distributed.

3. Click 'Change Status' to confirm changing the status for all the selected forms.
