This article helps you understand how to view audit history of an existing form.

Accessing Form History

Follow the steps for opening the form in the viewer.

Click on (the menu icon with three dots) and select the 'History' option (under the 'References' category) to view form history. Use the available dropdown options to filter the results as per requirements. It includes the distribution, status and access history of all the users across all of the message threads for selected forms. You need to have the role privilege 'Can Access Audit Information' for viewing audit history.

Alternatively, right-click on a form and select 'History > All / Distribution / Status' to view audit history from the forms listing view under the 'Project Forms' tab.

The history popup will open within the form viewer. While viewing the form history, you can filter the distribution and access history based on the form message ID using the dropdown option available at the top right. Additionally, you can always export the form history details as an Excel file by clicking the Excel icon at the top right. See 'App History More Options' below for further details.

Distribution history contains details of distribution that has happened on selected form. It includes the message ID, name and organization of the user who distributed the form and whether the recipient was notified via email or not, recipient object and user, recipient task and its current status along with the due date and when the task was assigned, task notes (notes captured from the subject line while form was distributed), task completion date (if completed), form viewed date (if the form was viewed as part of task completion) and remarks if any.

Status history contains details of instances when the status was changed or deactivated on the selected form. It includes the new status detail in case the status was changed including the details of the user who changed the status, when it happened and the reason mentioned by the user at that time.

Access history contains details of the type of access taken and by whom along with the date, message ID and remarks if any.

The exact time when a specific activity was performed can be identified (if available) when you mouse over the date value in the related history section. In case proxy access was taken while performing any of the activity, it would be indicated with a 'Proxy Access' icon on which you can mouse over and find out who had taken that particular proxy access.

Form History More Options

Follow the steps for accessing form history, then select the history records to be able to use the applicable more options menu, under the icon with three dots showing at the top right side, as applicable.

To undock the docked content.

To close the popup.

Clear Form Tasks

Users on Asite having the privilege 'Can Clear Tasks - Own' / 'Can Clear Tasks - Organization' / 'Can Clear Tasks - Workspace' on a project can clear tasks on their

project.

To clear one or more tasks that are incomplete, follow the steps for accessing form history more options, then select the tasks using the available checkboxes and click on 'Clear Tasks' under 'More Options'.

Selected tasks will be cleared and a message will appear at the top side of the viewer confirming the same.

Delegate Form Tasks

Users on Asite having the privilege of 'Can Delegate Tasks - Own' / 'Can Delegate Tasks - Organizations' / 'Can Delegate Tasks - Workspace' on a project can delegate tasks of users on that particular project.

To delegate one or more tasks that are incomplete to other users, follow the steps for

accessing form history more options, then select the tasks using the available checkboxes and click on 'Delegate Tasks' under 'More Options'.

In the 'To' box select the user to whom this task needs to be delegated.

You will get three options while delegating tasks:

Existing Due Date - To keep the original due date of the task unchanged.

Re-calculate days by actual distribution - To recalculate the task due days from the date of delegation.

User Definition - To select a new due date for this delegation.

Once done, click the 'Delegate Tasks' button to complete delegating the selected tasks.

Deactivate Form Tasks

Users on Asite having the privilege 'Can Deactivate Form Tasks - Own Org' / 'Can Deactivate Form Tasks - All Orgs' on a project can deactivate form tasks of users on that particular project.

To deactivate one or more tasks that are incomplete, follow the steps for accessing form history more options, then select the tasks using the available checkboxes and click on 'Deactivate Tasks' under 'More Options'.

Selected tasks will be deactivated and a message will appear at the top side of the viewer confirming the same.

Reactivate Form Tasks

Users on Asite having the privilege of 'Can Reactivate Form Tasks - Own Org' / 'Can Reactivate Form Tasks - All Orgs' on a project can reactivate form tasks of users on that particular project.

To reactivate one or more tasks that are deactivated, follow the steps for accessing form history more options, then select the tasks using the available checkboxes and click on 'Reactivate Tasks' under 'More Options'.

Selected tasks will be reactivated and a message will appear at the top side of the viewer confirming the same.
