Required Folder Permissions
To publish using this method, you need one of the following permissions on the destination folder:
Permission | Description |
Publish | Allows users to publish files. |
Publish & Link | Allows users to publish and link files. |
Admin | Provides full administrative rights, including publishing controls. |
NOTE: Folder permissions defined at the default or role level can be overridden.
How Do I Download The MS Excel Import Sheet?
Select the required project.
Navigate to the Files tab.
Choose the destination folder.
Click Upload dropdown (top-right) and select Files.
An Upload window will appear.
Select any file(s) to load the next screen (these won't be published yet - this step is just to load to the next screen).
You can select files using Select File(s) or drag and drop them into the Drag Files Here area.
It is recommended to use the actual files you plan to upload later, as this simplifies the import process.
In the new window, click the Download Template
icon (top right) to download the MS Excel template for importing file attribute details.
NOTE: In order for this method to work, Simple Upload must be disabled on the folder. To learn how to disable Simple Upload on a folder click here.
Fill Out the Excel Import Sheet
Open the downloaded Excel file.
Switch to the Import-Data sheet to begin entering your information.
Begin from cell B3 and fill in all required information.
Only the File Name is mandatory as the system queries each file based on its name.
If your project includes additional attributes, select column J.
Right-click the column and select Copy.
Select the next empty column (e.g., Column K).
Right-click and select Paste.
Repeat this process to add as many attribute columns as you need.
Each new column should represent one attribute on your Upload page.
The attribute's display name must be entered in the header row (Cell J1) of the Excel sheet exactly as it appears in your project configuration.
When finished, save the Excel file.
NOTE:
The value under File Name must match the actual file name and extension exactly (e.g., if it's a PDF file: Architecture Design_Ver1.pdf).
If any attribute is left blank in the Excel sheet, the system will still accept the import.
However, you'll be prompted to complete those fields on the Upload page if they're mandatory.
There are two types of mandatory attributes that may apply:
System-mandatory attributes
Custom attributes created by your Project Administrator
For Doc Ref fields:
If the folder has Auto-Fetch or Auto-Numbering conventions, the Doc Ref field does not need to be completed in the Excel sheet. The system will populate it automatically upon upload.
If neither convention is enabled and you leave Doc Ref blank, you'll be prompted to complete it manually on the Upload page.
For attributes with multiple values, separate each value using a # (no spaces).
E.g., for a multi-select dropdown, enter Value1#Value2#Value3 under the same attribute column.
All date fields must use the format: DD-MM-YYYY.
TIP:
System-attributes are included in the import sheet by default.
To find out if your project includes custom attributes:
Open the Upload page for your folder.
Look between the Status field and the Rev Notes field; any fields listed in this section are custom attributes.
If no fields appear, your folder does not have custom attributes, and no extra columns need to be added to the import sheet.
You must use the display name of the attribute (not the attribute code) when entering dropdown list attributes in the Excel import sheet.

How Do I Upload the Excel Sheet and Use it To Fill in My Attributes?
On the Upload page, click the Import File Attributes
icon.An Import File Attributes pop-up will appear.
Browse for your completed Excel file or drag it into the pop-up window.
When selected, click Import (bottom-left).
The system will automatically populate all your attributes.
Click Upload when you're ready to publish.
Secondary Files
If you're adding secondary files, include them in the same Excel import sheet as your primary files - specifically the Secondary File Name column. Whichever row you enter a secondary file into will determine which primary file it belongs to.
Complete the process above for your primary file(s).
In the Excel sheet, add the secondary file names (with extensions) to the Secondary File Name column alongside the corresponding primary file.
After importing the Excel sheet, the system will recognise the secondary files and prompt you to upload them.
Upload your secondary file.
If successful, a confirmation message will appear (bottom-right).
NOTE: The secondary file name in the Excel sheet must exactly match the file you upload - otherwise the system will not recognise it and will display an error message: "0 Secondary Files Matched".
How Do I Import Attributes for Placeholders Via the Excel Import Sheet?
Select the required project.
Navigate to the Files tab.
Select the destination folder.
Click More Options (top-right).
Select Create Placeholder.
In the pop-up, click the Download Placeholder Template
icon (top-right).Fill in all the metadata for the file.
The File Name column is not mandatory, as you're creating a placeholder and won't be importing the actual file yet.

Once the Excel sheet is complete, navigate to the Create Placeholder page on Asite.
Click the Import File Attributes
icon (top-right).You'll receive a confirmation message, reminding you that importing an Excel sheet will override any unsaved metadata for the placeholder.
Click Continue (bottom-left).
Select your completed Excel sheet, then click Import (bottom-left).
Your attributes will be imported. Click Create Placeholder (bottom-right).
You'll receive a success message: "Placeholder created successfully".
