Asite integration with Microsoft Office for the web allows its users to view and edit their project files created in Microsoft Office applications - like Word (in .DOCX file format only), Excel (in .XLSX file format only), Powerpoint (in .PPTX file format only). Any such changes made are saved as a draft automatically and can be published as a new file revision in the same project folder later whenever required.
Note: This is an add-on feature and involves commercial costs. Please speak with your Asite point of contact for more information.
Files can also be viewed or edited by one or more than one user at the same time via multi-user coauthoring supported with this integration. Accordingly, if a user is editing a file and some other user is editing the file simultaneously, they will get an indication via the mouse cursor icon about the changes being made by the other user.
Prerequisites
An active Asite CDE subscription.
Privilege for enabling MS Office integration, assigned to you by the Asite System Administrator.
A valid Microsoft 365 subscription (which supports editing Word, Excel, and PowerPoint files).
System Requirements
Any popular web browser – like Google Chrome, Mozilla Firefox, or Microsoft Edge.
How does it work?
From your Asite account, you can right-click on the file where you have permission to upload a new revision. Next, select the option to edit the file in related Microsoft Office for the web application. This option will be available if you have the required privilege assigned by the Asite System Administrator.
The integration works with Word, Excel, and PowerPoint files and doesn't require downloading separately.
For example, to edit a Word file, you can right-click on it, select the 'Edit' option, and then select the 'Edit in Microsoft Word online' option. The selected Word file will open in a new browser tab in the related 'Microsoft Office for the Web' where you can view the file and make required changes.
At the same time, you can have other Asite users access that file and edit it from their respective Asite accounts.
Once the required editing is done, you or one of the users editing the file in Microsoft Office for the web application can close the editing window, and then go back to the other tab or window having the Asite files listing area open. Here, left-click the icon corresponding to the file you had edited (under the 'Checkout' column). It will show available options for publishing the changes made on the file.
Multiple options are available at this stage as displayed in the above snapshot.
To publish the changes as a new revision, select 'Publish New Revision'. The file upload window will appear.
Enter required file attribute details, then distribute to other users if required. Finally, click 'Upload' to publish your file changes as a new revision. Any workflow triggers configured for the event 'Publish Documents' trigger at this stage.
If you or other users need to continue editing the document, select the option in Asite to edit the file in related Microsoft Office for the web application. The selected file will open in a new browser tab. Make the required changes to the file. Once the changes are finalized, you or one of those users can then publish the file as a new revision on Asite as explained above.
Select 'Discard Changes' if you need to discard the changes made to the file using related Microsoft Office for the web application since the last published revision. Then, it asks for your confirmation to discard any change to the selected file. Click 'Continue' to confirm discarding the changes as required.
Once the changes are discarded, you always have the option to publish a new revision on the selected file revision using different options available on Asite, including the option to edit the file using related Microsoft Office for the web application.
Once you or other users having access to the file have selected either one of the options 'Discard Changes' or 'Publish New Revision', please note that any edits made to the specified file from the related Microsoft Office for the web application (if still open in your browser) will not be saved to Asite.
Suppose you have made any edits later from the related Microsoft Office for the web application window you need to save. In that case, you may print it as a local file using the print option available under the 'File' menu for that particular file and upload it to your Asite project separately as required.
