View Attachments & Associations on a File

This article helps you understand how to view attachments & associations on a file from the listing area.

Following are the steps to view attachments and associations on a file in a project from the files listing area:

1. From the files listing area, you can view a file's attachments and associations, if any, by following any of the below options:

  • right-click on the file record and select 'More Options' then 'Associations' OR

  • click the icon against the file record under the 'Associations' column

2. A layered screen titled 'Attachments & Associations' will appear.

A list of attachments and associations on the selected file appears. Associated records will be available to you based on your access. If you don't have access to a record, you will be asked to speak with your project administrator for any questions.

3. The 'Attachments' tab displays the secondary file (also called an attachment) uploaded for the selected (primary) file. Details include the secondary file's type, name, size, name of the user who attached it, and the date and time (on mouse over) it was uploaded.

To view the individual attachments if any, click the link with the file name to open it in Viewer.

  • To download a file record, click on the file icon next to it. If you need to download multiple files from the list, select the checkbox for each file and click the 'Download' link at the top right. You can set the required download preference on the next screen.

4. The 'Files' tab displays the files associated with the selected file. Details include the file's type, flag, document reference, document title, purpose of issue, status, version number, revision number, link to view comments and attachments if applicable, publisher name and profile details on click, the date and time (on mouse over) when it was uploaded, and your tasks if any.

To view the individual associated files if any, click the link with the file name, document reference, revision number, or version number to open in Viewer.

  • To download a file record, click the file icon next to it. If you need to download multiple files from the list, select the checkbox for each file and click the 'Download' link at the top right. On the next screen, you can set the required download preference.

5. 'The 'Apps' tab displays the forms associated with the selected file. Details include the form's type, ID, title, user reference, status, originator name, and profile details (on click), the last updated date and time (on mouse over), your tasks (if any), and the remaining task time.

To view the associated form if any, click the form id.

  • If you need to associate an app from the given list and create a new form, follow the steps below:

    • select the checkbox for each form you need to associate

    • click the icon at the top right

    • select 'Project Form'

    • a screen appears where you can choose the type of form you need to create (based on your access and the project filter applied)

    • the screen to create a form appears with the chosen form type and the selected form associated with it

    • follow the steps to create a form as needed

  • If you have 'For Information' and 'For Status Change' tasks on the listed forms, you can select the forms on which you have those incomplete tasks and click the icon at the top right, then select 'Task - For Information' and/or 'Task - Change Status' based on the type of task you have remaining to complete.

6. The 'aMessages' tab displays the comments created on the selected file. Details include the comment's type, ID, title, version number and revision number of the file, originator name and profile details (on click), last updated date and time (on mouse over), and your tasks if any.

To view the associated comment if any, click the comment id or the title.
