Searching Files (Overview)

This article helps you understand how to filter your files on Asite.

Updated over a month ago

Users on Asite can filter file records using different search options in the files listing area.

Click the search box at the top right and type in your search query.

You can choose what file information you want to search through including the body content of your files:

  • Metadata Only: This option is selected by default and cannot be deselected. It allows you to search files based on their metadata (i.e. attribute data).

  • File Content: This option enables you to search for keywords within the body content of your files.

Note: If searching with a keyword in file comments listing areas or file distributions listing areas, the 'Files Content' option would not be available to select.

To run a more specific search, you can mouse over the relevant column header and enter/select the necessary search filter criteria. For example, to search for a file with its doc ref, go to the column header for 'Doc Ref'. Next, mouse over the column header for 'Doc Ref' and click on the search icon next to it, then type the search keyword as required. This will filter the files with 'Doc Ref' matching the search keyword entered.

Further, you can create search filters by applying single or multiple filter criteria. The following are the key functions of this feature:

  • Create Filter - You can define and build filter criteria by configuring the attribute. Learn More

  • Save Filter - You can save the defined filter criteria for future use and share it with other project members or groups.

  • Edit Filter - You can edit the saved filter name, its criteria, and the members or groups with whom it was shared. Learn More

  • Unsaved Filter - You can reuse the last applied filter. This pre-populates the filter criteria with the ability to amend and save the filter.

  • Delete Filter - You can delete the filter if it's not required.

  • Share Filter - You can share any existing filter that is accessible to you. Learn More
