Publish Files with Attribute Details through Import from Excel

This article helps you understand how to publish files with attribute details by using the option for import from an MS Excel file.

Pre-requisites:

Permission as mentioned below, on the project folder in which a file is to be published:

  • To publish files, 'Publish' or 'Publish & Link' or 'Admin' permission.
    Folder permissions defined at the default or the role level can be overridden. Click here for detailed help (See point 4).

Below are the steps to publish a file with attribute details, using the import option via MS Excel:

1. Select the project and destination folder.

2. On the file listing area, click the 'Upload' dropdown at the top right and select the files to publish. This option validates your permission to publish new files to the selected folder.

3. The listing page displays an 'Upload' window.

4. Select the files to be published and drag them to the 'Drag Files here' area or click the 'Select Files' button to browse and select required files.

Note: Publishing file revisions may depend upon whether the 'Revision Upload' activity is locked or unlocked for the existing file (with the same Doc Ref). While publishing multiple files, the files with the 'Revision Upload' file activity locked will be filtered out automatically.

5. In the 'Upload' window, click the icon at the top right to download the MS Excel template for importing file attribute details and save it on your computer.

6. Open the downloaded Excel template file. The first sheet of the Excel file shows 'Notes' which gives important information about publishing files.

If the folder you are publishing into has an Auto-Naming and/or Auto-Numbering convention applied to it, the Doc Ref field becomes optional and not Mandatory. (To learn more, see how to create an attribute / how to create an attribute set)

Users can add as many custom attributes as required. To do this, you must insert as many new columns as needed by right-clicking column J and clicking 'Insert'.
Note: Adding new columns to the right of column J won't be helpful.

7. Capture the required details of the files to be published in the second sheet - titled 'Import-Data' and save the file. The sequence of attributes will be - System mandatory meta-data (Doc. Ref., Revision no., Title, Purpose of Issue, Status), Configurable attributes (as configured in the sequence within the attribute set), System optional meta-data (Revision Notes, Secondary File / Attachment). The file name should include its extension (e.g. 'Foundation.pdf') in the import sheet.

7a. Attributes with multiple values must be separated by # (without any space or other

characters).

7b. User can add as many custom attributes as required by inserting a column with the exact name as in the attribute name (To learn more, see how to create an attribute / how to create an attribute set). To do this, you must right-click the column having the default title as '<<Custom Attribute>>' (i.e. Column J) and click 'Insert' to insert as many

new columns as required.

7c. Ensure that custom attribute fields and values entered in the Import Excel spreadsheet are correctly configured (and applied to the folder in which the files are meant to be published). Values should match based on the attributes configured in the project to successfully import all the attribute details smoothly. Note: Adding new columns to the right of column J (having the default title as '<<Custom Attribute>>) won't be helpful.

7d. The 'File Name' column (i.e. Column B) is optional and can be left empty while creating placeholders using the Excel spreadsheet.

7e. All date fields should be captured in DD-MMM-YYYY format e.g. 21-APR-2021.

7f. If the folder you are publishing into has an Auto-Naming and/or Auto-Numbering convention applied to it, the Doc Ref field becomes optional and not Mandatory. (To learn more, see how to create an attribute / how to create an attribute set)

8. Return to the 'Upload' screen of Asite.


9. Click the icon to upload the updated MS Excel file. The 'Import from Excel' screen will appear.

10. Drag and drop the updated MS Excel file or click 'Browse' to select the file manually. Once you are done, click 'Import'.

11. Depending on the file name entered for the secondary file in the import sheet, you can upload secondary files in bulk in the next screen as shown below.

Select the files to upload as secondary files on the selected primary file. Asite automatically identifies the secondary files if the file name matches any primary file in the 'Upload' screen with or without extension.


For example, if you are uploading a file called Section_1.dwg, Asite can identify the secondary file if it is uploaded with the name 'Section_1' while the file extension may be the same or different.


If the secondary file name selected for upload doesn't match any of the primary file names chosen for upload, or with the names filled in (as per the uploaded import sheet), such secondary files can be uploaded separately from the 'Upload' screen.

12. Details of the files captured in the Excel sheet are updated on the user interface. Click 'Select Files' to modify the file selection if required. You can also edit the file attribute details directly from the user interface at this step.

13. Click on 'Upload' to publish files with attributes.

  • The activity centre displays the progress of file uploads. The activity centre screen automatically closes once all the files are published successfully.

  • If the selected files exist in the folder, all the attributes will be automatically pre-populated based on their previous revision.
