Upload a File with Attribute Details via Import from Excel

This article helps you understand how to upload files with attribute details by using the option for import from excel file.

Pre-requisites:

Permission as mentioned below, on the project folder in which a file is to be uploaded:

  • To upload or publish files, 'Publish' or 'Publish & Link' or 'Admin' permission.
    Folder permissions defined at default level or at role level can be over-ridden. Click here for detailed help (See point 4).

Below are the steps to upload a file with attribute details, using the import option via MS Excel:

1. To upload files with attributes, you need to select the project and destination folder.

2. On files listing area, click on 'Upload' dropdown at top right and select 'Files' to upload files to Asite. This option validates for your permission to upload new files to the selected folder.

3. The listing page displays a page with upload window.

4. Select the files to be uploaded and drag them to the upload area or click 'Select Files' button to browse and select required files.

Note: Upload of file revisions may depend upon whether the 'Revision Upload' activity is locked or unlocked for the existing file (with same doc ref). While uploading multiple files at a time, the files which have 'Revision Upload' file activity locked will be filtered out automatically.

5. In the 'Upload' window, click on icon at top right to download MS excel template for importing file attribute details and save it on your computer.

6. Open the downloaded excel template file. First sheet of the excel file shows 'Notes' which gives the important information about uploading files. Please note that File Attribute Import option is useful only if you are uploading files with attributes and not meant to be used in case of simple upload.

If the Folder you are uploading into has an Auto-Naming and/or Auto-Numbering convention applied to it, the Doc Ref field becomes optional and not Mandatory. (To learn more, see how to create an attribute / how to create an attribute set)

User can add as many custom attributes as required. To do this, you must Right Click and Insert as many new columns as required by right clicking column J and clicking 'Insert'.
Note: Adding new columns to the right of column J won't be helpful.

7. Capture required details of the files to be uploaded in the second sheet - named 'Import-Data' and save the file. The sequence of attributes will be - System mandatory meta-data (Doc. Ref., Revision no., Title, Purpose of Issue, Status), Configurable attributes (as configured in the sequence within the attribute set), System optional meta-data (Revision Notes, Secondary File / Attachment). File Name should be mentioned along-with its file extension (e.g. 'Foundation.pdf') in the import sheet.

7a. Attributes with multiple values must be separated by # (without any space or other

characters).

7b. User can add as many custom attributes as required by inserting column with exact name as in the attribute name (To learn more, see how to create an attribute / how to create an attribute set). To do this, you must right click the column having default title as '<<Custom Attribute>>' (i.e. Column J) and click 'Insert' to insert as many

new columns as required.

7c. Remember to ensure that custom attribute fields and values that are entered in import excel spreadsheet are correctly configured (and applied to the folder in which the files are meant to be uploaded) and values match as needed to be able to successfully import all the attribute details smoothly. Note: Adding new columns to the right of column J (having default title as '<<Custom Attribute>>) won't be helpful.

7d. The 'File Name' column (i.e. Column B) is optional and can be left empty while creating placeholders using the excel spreadsheet.

7e. All date fields should be captured in DD-MMM-YYYY format e.g. 21-APR-2021.

7f. If the Folder you are uploading into has an Auto-Naming and/or Auto-Numbering convention applied to it, the Doc Ref field becomes optional and not Mandatory. (To learn more, see how to create an attribute / how to create an attribute set)

8. Return back to file upload screen of Asite.


9. Click on icon to upload the updated MS excel file. The 'Import from Excel' screen will appear.

10. Drag and drop the updated MS excel file or click 'Browse' to select the file manually. Once done, click 'Import'.

11. Depending on the file name entered for secondary file in the import sheet, you will be able to upload secondary files in bulk in the next screen as shown below.

Select the files you want to upload as secondary files in bulk. Asite automatically identifies the secondary files if the file name matches any of the primary file in the 'Upload' screen with or without extension.


For example, if you are uploading a file called Section_1.dwg, Asite can identify the secondary file if uploaded with the name 'Section_1' while the file extension may be same or different.


If the secondary file name selected for upload doesn't match with any of the primary file names selected for upload or with the names filled in as per the uploaded import sheet, such secondary files need to be uploaded separately from the 'Upload' screen.

12. Details of the files captured in excel sheet are updated on the user interface. Click on 'Select Files' to modify the file selection if required. You can also edit the file attribute details directly from user interface at this step.

13. Click on 'Upload' to upload files with attributes.

14. The activity center displays the progress of file uploads. Activity center screen automatically closes once all the files are uploaded successfully.

15. In case, selected files already exist in the folder then all the attributes will be automatically pre-populated. The attributes will be included in the upload of file revision.
