Copy a Workflow Definition to a Different Project or a Project Template

This article helps you understand how to copy an existing workflow definition to a different project or a project template.

Pre-requisites:

Permission, as mentioned below, on the project template to which an existing working definition is to be copied:

  • The 'Admin' permission must be assigned to you, your organisation or a user group you are a member of.

The steps to copy an existing workflow definition to a different project or a project template are mentioned below:

1. Navigate to the 'Workflows' tab and go to the project where you want to copy the workflow definition in the workflows listing view.

2. Select the workflow definition to be copied and right-click the same.

Another way to copy a workflow definition is to select it using the corresponding checkbox and click the 'More Options' link at the top right. This will open a pop-up screen with an option to copy the selected workflow definition.

3. Click the 'Copy Workflow Definition To Another Project' option. A popup window will appear where you can enter the required information to copy the selected workflow definition.

  • Workflow Name - Enter a name for the new copied workflow.

  • Description - Enter a brief description of the new workflow being created.

  • Projects - This dropdown displays a list of all other projects and templates to which the workflow can be copied (depending on the selected project filter). Select a project or template from the list.

  • Workflow Context - The selected workflow for copying will pre-populate the workflow context, which cannot be edited.

  • Total Workflow Days - Total length of the workflow in number of days.

  • Open designer with copied Workflow Definition - Select this box to proceed to the workflow designer with the newly created copy of the workflow definition, from which you can begin making the necessary changes to the design. If this box is unselected, you will be returned to the workflow definition listing.

4. Once you have filled in the necessary details, click 'Copy' to continue. A new workflow definition will be created based on the workflow definition selected by the user in step 2.

In the next screen, you can adjust the task properties in the copied workflow design before publishing your new workflow. Some values will be pre-filled based on the workflow from which the design was copied. Click here to understand how to create a workflow.

If you copy a workflow to a project template and then save it, it will also be inherited by related cloned projects where inheritance is enabled for the 'Workflow Definitions' object, as appropriate, based on the context.
