Create a System Task - Unlocking File Activities (in a Project)

This article helps you understand how to create a system task for unlocking file activities in a project.

Pre-requisites:

  • The required role privilege is 'Manage Workflow Rules' on the project where a system task needs to be created.

Any existing activity locks applied to a file won't impact any workflow processes running on that particular file. However, any activity getting locked on a file due to the workflow running on it, will not be automatically unlocked when the workflow ends on that particular file. You can add a task within your workflow designs to unlock supported file activities using the system task 'Unlock File Activities'.

The steps to create a system task for unlocking file activities in a project are as mentioned below:

1. Follow the steps to create a system task for files in a project (steps 1 to 4).

2. In the task dropdown, select 'Unlock File Activities'.

3. When you select the 'Unlock File Activities' option, the page expands and enables you to choose file activities that can be unlocked.

Revision Upload - To unlock the upload of a new revision on files.

File Distribution - To unlock further distribution or sharing of files.

Edit Attribute - To unlock editing of file attributes.

Update Status - To unlock file status changes.

Commenting - To unlock discussion on files.

4. Once done, click the 'Create' button to create a system task.

You can create independent system tasks which can be executed using workflow triggers without adding them to a complex workflow.

All system tasks are executed automatically according to the conditions outlined in the relevant workflow trigger. The related file audit history and task assignment details indicate that they were performed by the 'Workflow Agent'.
