Below is a description of the system attributes available when publishing new files, or editing the attributes of existing files in a project. All the mandatory file attributes will have an asterisk(*) symbol displayed next to them.
Doc Ref
‘Doc Ref’ stands for document reference. In a project folder on Asite, you can uniquely identify a file based on its ‘Doc Ref’.
When publishing a new file or a revision to an existing file, or while editing the attributes of an existing file revision, Asite validates the ‘Doc Ref’ value to ensure its uniqueness for the selected project folder.
If a rule applies to the ‘Doc Ref’ of the selected project folder, the ‘Doc Ref’ value would update based on the applicable attribute set configuration.
Rev
'Rev' stands for revision number. You can enter any alphanumeric value as a revision number to help identify the selected file revision.
If you are publishing a new file revision and entering a revision number that repeats for the selected file record, the system will display a prompt so that you can decide how to proceed. In such a scenario, you can click 'Continue' to proceed with the same revision number, or close the prompt and enter a different revision number if required.
Doc Title
'Doc Title' stands for document title. You can enter a title specific to the selected file revision.
To copy the doc ref of the selected file as the 'Doc Title' when publishing a new file or a revision to an existing one, click the (copy) icon next to the column title.
Purpose of Issue
'Purpose of Issue' indicates the purpose for publishing the selected file. It is a dropdown field where you can choose the purpose of issuing the selected file revision.
Status
'Status' indicates the status of the selected file. It is a dropdown field where you can choose a status for the selected file.
Publish as Private
Select the 'Publish As Private' checkbox against a file revision to mark it as private. A private file revision can only be accessed by:
its publisher and
folder administrator and
users to whom it's distributed and
users to whom its visibility is assigned
Rev Notes
'Rev Notes' stands for revision notes. You can enter notes specific to the selected file revision.
Secondary File
Upload a secondary file, also called an attachment for the selected primary file.
You can upload secondary files in bulk by clicking the icon in the column title. A layered page opens.
You can select the files you want to upload as secondary files in bulk. Secondary files are limited to 1 secondary file per primary file. If you have multiple secondary files for one primary file, you can upload them by creating a single .zip file containing all the necessary files.
Asite automatically identifies the secondary files if their names match any primary file names in the 'Upload' screen with or without extension.
For example, if you upload a file called 'Section_1' in '.dwg' file format, Asite can identify the secondary file if it is uploaded with the same name 'Section_1' while the file extension may be the same or different.
Depending on the configurable attributes the project administrator defines for the selected folder, you may need to provide additional details when publishing new files or editing the attributes of existing files.
