Assign Form Permissions on a Project

This article helps you understand how to assign and manage form permissions on your projects.

Pre-requisites:

Role privilege as mentioned below, on the project in which form permissions are to be assigned:

Below are the steps to assign form permissions on a project:

1. In the 'Projects' area, navigate to the project where form permissions are to be assigned.

2. Right-click on the required project, select 'Roles & Users' then 'App Permissions'.

Alternately, mouse over the project thumbnail in the thumb view and click the icon. A layered page opens. Click 'App Permissions'.

3. It shows existing project roles and their form permissions with the ability to assign or remove form permissions based on roles assigned to users.

4. Assign or remove form permissions for roles as required by selecting the corresponding checkboxes. A list of role form permissions and their implications are stated below:

No Access

Users cannot view or access forms of the corresponding form type.

If this permission is assigned for any role, users cannot view or access forms of the corresponding form type. You cannot distribute forms to users with 'No Access' on the selected form type of the project.

Create

Users can create a form of the corresponding form type.

If this permission is assigned for any role, users in that role can create forms of the corresponding form type.

View All Private Forms - All Orgs

Users can view all private forms of all organisations in a project of the corresponding form type.

If this permission is not assigned, the user cannot view any private forms of corresponding form type from all organisations except their own.

View All Private Forms - Own Orgs

Users can view private forms of their organisations only in a project of the corresponding form type.

If this permission is not assigned, the user cannot view any private forms of the corresponding form type from their organisation.

Control

Users can act as controllers of the corresponding form type. This permission can be assigned only if the 'Use Controller' form setting is set to 'Yes'.

If this permission is not assigned, the user cannot act as a controller for the corresponding form type.

View All Draft Forms - Own Org

Users can view all draft forms of their organisation for the corresponding form type.

If this permission is not assigned, the user cannot view and manage draft forms of the corresponding form type from their organisation. Users having this permission on a form type can edit/send/discard draft forms of that particular type created by their organisation.

View All Draft Forms - All Orgs

Users can view all draft forms of all organisations in a project of the corresponding form type.

If this permission is not assigned, the user cannot view and manage any draft forms in the project of the corresponding form type from all organisations except their own.

5. Click 'Save' to apply any changes made.

  • Click 'Create New Role' to create a new role (if required). Assign required form permissions and click 'Save'.

From the top right, enter a search keyword to filter the listing of role names, form permissions, and form names (type of form).

Click the icon at the top right to export the list of roles, form names, and associated form permissions.
