Assign Form Permissions on a Project

This article helps you understand how to assign and manage form permissions on your projects.

Role privilege as mentioned below, on the project in which form permissions are to be assigned:

Below are the steps to assign form permissions on a project:

1. In 'Projects' area, navigate to the project where form permissions need to be assigned.

2. Right click on the required project and select 'Roles & Users' then select 'App Permissions'.

Alternately, in the thumb view, do a mouse hover on the project thumbnail and click on icon. A layered page opens. Click on 'App Permissions'.

2. It shows existing project roles and their form permissions with the ability to assign or remove form permissions based on roles assigned to users. Additionally, you can also add new roles if required.

3. Assign or remove form permissions for roles as required by selecting the corresponding checkboxes. A list of role form permissions and their implications are stated below:

No Access

Users with this form permission cannot view or access forms of corresponding form type at all.

If this permission is assigned for any role, users in that role cannot view or access forms of corresponding form type at all. Users having no access on a form type can't be distributed forms of that particular type.

Create

Enables users in particular role to create a form of corresponding form type.

If this permission is assigned for any role, users in that role can create forms of corresponding form type.

View All Private Forms - All Orgs

Enables user to view all private forms of all organizations in a project of corresponding

form type.

If this permission is not assigned, user will be unable to view any private forms of corresponding form type from all organizations except their own.

View All Private Forms - Own Orgs

Enables user to view private forms of their organizations only in a project of corresponding

form type.

If this permission is not assigned, user will be unable to view any private forms of corresponding form type from their own organization.

Control

Enables user to act as a controller of corresponding form type. Only applicable if the 'Use Controller' form setting is set to 'Yes'.

If this permission is not assigned, user will be unable to act as a controller for corresponding form type.

View All Draft Forms - Own Org

Enables user to view all draft forms of their organization of corresponding form type.

If this permission is not assigned, user will be unable to view and manage draft forms of corresponding form type from their own organization. Users having this permission on a form type can edit/send/discard draft forms of that particular type created by their own organization.

View All Draft Forms - All Orgs

Enables user to view all draft forms of all organizations in a project of corresponding

form type.

If this permission is not assigned, user will be unable to view and manage any draft forms in the project of corresponding form type from all organizations except their own.

4. If required, click on 'Create New Role' to create a new role. Assign or remove form permissions for roles as required and click 'Save'.

5. From the top right, you can also filter the listing of role name, form permissions and form names (type of form) by entering a search keyword.

6. To export the list of roles, form names and associated form permissions, click on icon available at top right.

7. Click on 'Save' to apply any changes made.
