Creating an aMessage While Viewing a File

This article will explain how to create an aMessage on a file.

  • Users with the Can Create Comments role privilege can add comments to files published in the project.

  • Users with the Can Create Private Comments can add private comments to files published in the project.

NOTE: Private comments are visible only to the Workplace Administrators and any other recipients you specify when creating the comment. Having the Can Create Private Comments privilege alone does not grant access to private comments created by others.

Create an aMessage on a file open in Viewer:

  1. Open the file in Viewer and click the aMessages icon (top right).

  2. Select Start a Discussion.

  3. A window will open prompting you to fill out certain fields.

NOTE: All Distributors (Distribution Groups, Users, Roles or Organisations) and the Publisher of the file will be automatically added to the recipient field. You can edit this list as needed.


Available Fields when Creating an aMessage

Recipients the comment will be shared with (can include Distribution Groups, Users, Roles or Organisations).

  • Clicking To opens a list of all users, roles, organisations and distribution groups in the project.

  • When a recipient is selected, two fields appear - one for assigning a task and another for setting a deadline.

  • The mail icon (gold when enabled, grey when disabled) controls whether the recipient gets an email notification or only sees the comment/ task when logged into Asite.

Bulk apply: Use the fields at the top of the window to assign a task, deadline, and email notification to multiple users at once. Simply click the downward arrow next to each box to apply the field to the selected recipients.

Title

The title of the aMessage (mandatory field).

Description

The details of the aMessage. You can use editor options at the top to style your text, add images via URL or insert hyperlinks.

Mark as Private

Marks the aMessage as private. Only the selected recipients and Workplace Administrators will be able to see it.


Icons Breakdown

At the top right of the New aMessage window, you'll find a series of icons. Each icon provides a specific function and is explained in the table below.

No Comment

Enables you to proceed without entering commentary. If you are assigned a For Comment task on a file but have nothing to add, you can use the No Comment option.

Attachment

Attach additional files from your local drive to the file on Asite. Attached files will appear at the bottom of the aMessage window.

Associate

Associate files, aMessages, Apps or Markups within the project to the selected file.

Associated items will appear at the bottom of the aMessage window.

NOTE: Any markups created in Java Viewer or ThinClient Viewer cannot be associated.

Maximise

Expands the tab.

Minimise

Shrinks the tab.

Dock Content

Pin the tab to the side of the page. (If applied in one file, it is automatically applied across all files).

Undock Content

Unpin the tab from the side of the page. (If applied in one file, it is automatically applied across all files).

Close

Closes the window.

Once you've entered the required details, click Submit to save. Use Save Draft if you want to edit and submit later. If you don't want to keep your changes, click Cancel to return to the previous screen.
