Files (including secondary files if applicable) can be copied within the same project, or from a folder in one project to a folder in another project with the same geography as per project configuration.
It helps save time and effort whenever you need to create identical or similar files from scratch, reduces the chances of errors, and gives you more flexibility when managing many files.
Pre-requisites:
The project setting 'Enable File Copy' should be set to on.
'View & Download' or above permission on the project folder from where the files are to be copied.
'Publish' or above permission on the project folder where the copied files will be published.
Below are the steps to copy a file in your project:
1. From the 'Files' tab, navigate to the project folder containing the files to copy. Use the search and filter options available at the top if needed.
2. Select one or more files to copy, then right-click and select 'Copy' --> 'File(s).
Note: You cannot select files to copy from multiple projects simultaneously, and external references, placeholders, or links cannot be copied.
3. A layered screen appears. Select a target project folder to place a copy of the selected files. If necessary, select the checkbox option 'Copy secondary files'.
4. The 'Copy File(s)' window appears. Capture file details i.e. Doc Ref, Rev, Doc Title, Purpose of Issue, Status, Mark File as Private, Rev Notes, Upload Secondary File, and additional details as applicable on the selected folder.
While copying multiple files, use the 'bulk apply' option to fill in attribute details if required.
Based on the configuration, some fields may be read-only if:
a Groovy script system task applies to the selected folder
an auto-fetch rule or a naming convention is configured on the selected folder
the file is being copied as a revision to an existing file.
5. If required, you can also inherit and combine (i.e. merge) or overwrite attributes from the parent file by selecting the relevant option from the dropdown at the top right (See snapshot below).
Please note that these options (merge or overwrite) won't work while copying files if a Groovy script system task is already configured to work with file attributes applicable to the selected folder, as the fields would work as read-only fields.
6. Distribute the files to other users, assign them tasks with due dates, and send email notifications if needed. You can click here for detailed help.
7. Once done, click 'Copy' to copy the selected files to the target folder.
