The following are the steps to update the attributes of a file open in the viewer:
1. While the file for which you need to view attachments and associations is open in the viewer, navigate to the 'More Options' menu.
2. In the 'More Options' menu, select the 'Attachments & Associations' option (under the 'More Info' category) to view a list of attachments and associations on the file open in the viewer.
To view all the details, click the 'Maximize' icon at the top right as needed. Associated records will be available to you based on your access. If you don't have access to a record, you will be asked to speak with your project administrator for any questions.
3. The 'Apps' tab displays the forms associated with the selected file. Details include the form's type, ID, title, user reference, status, originator name and profile details (on click), the last updated date and time (on mouse over), your tasks and remaining task time as applicable.
To view the associated form, if any, click the form ID.
To flag the associated form, if any, click the down arrow next to the
'Flag' icon and select from available options - 'No Flag', 'High', 'Medium', or 'Low' priority. The flag applied to associated forms using this icon will also appear in forms listing areas, so you or other users can easily filter required forms to perform batch tasks.
If you need to associate an app from the given list and create a new form, follow the steps below:
Select the checkbox for each form you need to associate.
Click the
'Create Form' icon at the top right.
A screen appears where you can choose the type of form you need to create (based on your access and the project filter applied).
The screen to create a form appears with the chosen form type and the selected form associated with it.
Follow the steps to create a form as needed.
4. The 'aMessages' tab displays the comments created on the selected file. Details include the comment's type, ID, title, version number and revision number of the file (on which the corresponding comment is created), originator name and profile details (on click), last updated date and time (on mouse over), and your tasks, if any.
To view the associated comment, if any, click the comment ID or the title.
If you need to associate an aMessage from the given list and create a new form, follow the steps below:
Select the checkbox for each aMessage you need to associate.
Click the
'Create Form' icon at the top right.
A screen appears where you can choose the type of form you need to create (based on your access and the project filter applied).
The screen to create a form appears with the chosen form type and the selected aMessage associated with it.
Follow the steps to create a form as needed.
5. The 'Files' tab displays the files associated with the selected file. Details include the file's type, flag, document reference, document title, purpose of issue, status, version number, revision number, link to view comments and attachments if applicable, publisher name and profile details on click, the date and time (on mouse over) when it was uploaded, and your tasks if any.
To view the individual associated files, if any, click the link with the file name, document reference, revision number, or version number to open in Viewer.
To flag the associated file, if any, click the down arrow next to the
'Flag' icon and select from available options - 'No Flag', 'High', 'Medium', or 'Low' priority. The flag applied to associated files using this icon will also appear in file listing areas, so you or other users can easily filter required files to perform batch tasks.
To download a file record, click the file icon next to it. If you need to download multiple files from the list, select the checkbox for each file and click the
'Download' icon at the top right. To set your download preferences, click the
'Down Arrow' icon next to it.
6. The 'Secondary File(s)' tab displays the secondary file (also called an attachment) uploaded for the selected (primary) file. Details include the secondary file's type, name, size, name of the user who attached it, and the date and time (on mouse over) it was uploaded.
To view the individual attachments, if any, click the link with the file name to open it in Viewer.
To download a file record, click the file icon next to it. If you need to download multiple files from the list, select the checkbox for each file and click the
'Download' icon at the top right. To set your download preferences, click the
'Down Arrow' icon next to it.
If you need to associate one or more secondary files from the given list and create a new form, follow the steps below:
Select the checkbox for each aMessage you need to associate.
Click the
'Create Form' icon at the top right.
A screen appears where you can choose the type of form you need to create (based on your access and the project filter applied).
The screen to create a form appears with the chosen form type and the selected secondary file associated with it.
Follow the steps to create a form as needed.
7. The 'Associated Revisions' tab displays other files associated with the selected file as a parent or a child file. Details include the associated file's type, file name, document reference, revision number, purpose of issue, and status.
At the top of the listing, you can find the name and type of the file for which the list of associated revisions is displayed. You can also see the revision number, status and purpose of issuing the selected file.
To view the individual associated file revisions, if any, click the link with the file name, document reference, or revision number to open in Viewer.
To download a file record, click the file icon next to it. If you need to download multiple files from the list, select the checkbox for each file and click the
'Download' icon at the top right. To set your download preferences, click the
'Down Arrow' icon next to it.
8. Below is a description of the icons at the top right, which can also be used optionally while viewing attachments & associations on a file in Viewer:
