Lock Activities on Files

This article helps you understand how to apply activity locks on files.

Following are the steps to lock particular activity on an existing file:

1. Select the project folder under the 'Files' tab. Select the file on which the file activity is to be locked.

2. Right-click the selected file record and select the 'Activity Locks' option.

3. Clicking 'Activity Locks', the file listing page populates a layered page with an option to lock activities on the selected file. Lock options are available for the following file activities:

'Revision Upload', 'File Distribution', 'Edit Attribute', 'Update Status', 'Discussions' ('Discussions' to be replaced with 'Reviews' in case comment review is enabled in the relevant project settings)

The lock option is available only for the 'Edit Attribute' activity when using placeholders.

For linked files, the lock option is available only for the 'File Distribution' and 'Discussions' activities.

When you choose a combination of placeholders and linked files to apply activity locks, the lock option affects only the linked files.

When selecting a combination of linked and normal files to apply activity locks, the lock option affects only the normal files.

When selecting a combination of placeholders, linked files, and normal files, the lock option affects only the normal files.

4. Use the switch buttons to lock or unlock activities corresponding to each of the file activities. Locked activities show lock sign as an icon while unlocked activities show unlock sign as an icon.

5. Click the 'Save' button to apply the activity lock changes. The total count of locked activities for the selected file will appear in the bracket beside the 'Activity Locks' option upon right-clicking (only if a single file is selected).

6. The 'Activity Locks' column on the file listing page (based on column configuration) will display such files with the icon and upon mouse hover, it will display details of file activities that are locked. All such locked file activities would also be visible in the 'Activity Locks' column when using the 'Export' option on the file listing page.

7. Similarly, you can also lock file activities by selecting multiple files. For multiple files, you will need to select the checkboxes for the file activities that are needed to be locked.
