Create a System Task - Distributing Forms (in a Project)

Pre-requisites:

  • The required role privilege is 'Manage Workflow Rules' on the project where a system task needs to be created.

The steps to create a system task for distributing forms in a project are as mentioned below:

1. Follow the steps to create a system task for Forms (steps 1 to 5).

2. In the task dropdown, select 'Distribute Apps'.

3. When you select the 'Distribute Apps' option, the page expands, allowing you to choose the project users with whom the form should be distributed, along with the task and duration (task time). The task due date is automatically calculated based on the default number of days configured for task completion in the relevant form settings.

The availability of form tasks for distribution will depend on the following factors:

Assign Status - The 'Overall App Statuses' setting should be enabled for the selected form type.

Attach Docs - The 'Allow Attachments' setting should be enabled for the selected form type.

Distribute - The 'Allow Distribution After Creation' setting should be enabled for the selected form type. Otherwise, the 'Distribute' task should be enabled.

For Acknowledgement - The 'For Acknowledgement' task should be enabled and the default number of days should be configured under the 'Tasks Required' section in form settings for the selected form type.

For Action - The 'For Action' task should be enabled and the default number of days should be configured under the 'Tasks Required' section in the form settings of the selected form type.

For Information - The 'For Information' task should be enabled and the default number of days should be configured under the 'Tasks Required' section in the form settings of the selected form type.

Respond - The 'Response Allowed' setting should be enabled for the relevant form type.

During distribution, the calculation of the number of days for the task to be completed may also depend upon working days and holidays defined in the working calendar.

4. Key in the subject as required.

5. Once done, click the 'Create' button to create a system task.

You can create independent system tasks which can be executed using workflow triggers without adding them to a complex workflow.

All system tasks are executed automatically according to the conditions outlined in the relevant workflow trigger. The related form audit history and task assignment details indicate that they were performed by the 'Workflow Agent'.
