Completing File Tasks

Users on Asite can complete any of the file tasks assigned to them irrespective of whether their project role allows them to perform that task independently or not.

Once a task is distributed on a file, task recipients can see all their tasks as a hyperlink on that particular file under the 'My Tasks' column in the files listing area. In case there are multiple tasks assigned to you on the same file, it would appear similar to a dropdown by clicking the icon corresponding to the task name.

Alternatively, if the same file is open in Asite Viewer, the task is also available to recipients as a hyperlink in the task dropdown available at the top.

Task hyperlinks appear in red, amber, or green colors depending on their completion status:

  • Red indicates that the corresponding task is incomplete and overdue

  • Amber indicates that the corresponding task is due within a week

  • Green indicates that the corresponding task is due after a week

A green tick appears opposite the task if it is already completed. If any tasks were cleared for the selected file, it would be mentioned below the list and relevant details will be available upon click.

Below is a description of how you can complete different types of tasks on files:

Completing a 'For Acknowledgement' task on a File

To complete a 'For Acknowledgement' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Acknowledgement' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Acknowledgement' task hyperlink to continue.

A button with the name 'Complete' will appear at the bottom right, clicking on which you are directly able to complete the 'For Acknowledgement' task on the selected or corresponding file as applicable.

In case you need to complete the 'For Acknowledgement' task on multiple files at the same time, select the required files using the corresponding checkbox, then right-click and select 'Tasks' --> 'For Acknowledgement'.

A layered screen will appear as follows, containing a list of files having incomplete 'For Acknowledgement' tasks on selected files:

A button with the name 'Acknowledge Receipt' will appear at the bottom right, clicking on it you are directly able to complete the 'For Acknowledgement' task on the files being displayed on the screen.

Completing a 'For Action' task on a File

To complete a 'For Action' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Action' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Action' task hyperlink to continue.

While completing a 'For Action' task, you have to enter your remarks about the relevant action taken in the 'Remark' box and then click the 'Complete' button to complete the selected task. Remarks entered by you will be available to access from the 'Access' history section of the relevant on which action is getting completed.

In case you need to complete the 'For Action' task on multiple files at the same time, select the required files using the corresponding checkbox, then right-click and select 'Tasks' --> 'For Action'.

While completing a 'For Action' task, you have to enter your remarks about the relevant action taken in the 'Remark' box and then click the 'Complete' button available at the bottom right to complete the selected task. Remarks entered by you will be available to access from the 'Access' history section of the relevant files on which action is getting completed.

Completing a 'For Comment Coordination' task on a File

To complete a 'For Comment Coordination' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Comment Coordination' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Comment Coordination' task hyperlink to continue.

While completing a 'For Comment Coordination' task, you have to keep the checkbox option ticked to complete the task and also select the private comments that need to be released to the public, then click 'Submit'.

In case you need to complete the 'For Comment Coordination' task on multiple files at the same time, select the required files using the corresponding checkbox, then right-click and select 'Tasks' --> 'For Comment Coordination'.

Next, follow the same steps - to keep the checkbox option ticked to complete the task and also select the private comments that need to be released to the public. Finally, click the 'Submit' button available at the bottom left to complete the selected task.

Completing a 'For Comment' task on a File

To complete a 'For Comment' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Comment' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Comment' task hyperlink to continue.

While completing a 'For Comment' task, you have to follow the steps for creating a comment (step 5 onwards). Once a new comment is successfully created on that particular file, the task will then be marked as completed accordingly.

Completing a 'For Comment Incorporation' task on a File

To complete a 'For Comment Incorporation' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Comment Incorporation' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Comment Incorporation' task hyperlink to continue.

While completing a 'For Comment Incorporation' task, you have to keep the checkbox option ticked to acknowledge receipt of listed files for incorporation of aMessages, and also select an estimated publication date for the next revision, then click 'Submit'.

Completing a 'For Distribution' task on a File

To complete a 'For Distribution' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Distribution' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Distribution' task hyperlink to continue.

While completing a 'For Distribution' task, you have to follow the steps for distributing a file. Once that particular file has been distributed, the task will then be marked as completed accordingly.

Completing a 'For Information' task on a File

To complete a 'For Information' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Information' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Information' task hyperlink to continue.

While completing a 'For Information' task, you simply need to open the file in Asite viewer. Once that particular file is viewed, the task will then be marked as completed accordingly.

In case you need to complete the 'For Information' task on multiple files at the same time, select the required files using the corresponding checkbox, then right-click and select 'Tasks' --> 'For Information'.

A layered screen will appear as follows, containing a list of files having incomplete 'For Information' tasks on selected files:

An 'OK' button will appear at the bottom right, clicking on which you will be directly able to complete the 'For Information' task on the files being displayed on the screen.

Completing a 'For Status Change' task on a File

To complete a 'For Status Change' task, go to the file listing area and search for the file on which you have this type of task assigned. Once you have found the required file, you will see a 'For Status Change' task hyperlink under the 'My Tasks' column corresponding to that particular file.

Alternatively, if the same file is open in Asite Viewer, that particular task will also be available to you as a hyperlink in the task dropdown available at the top.

Click the 'For Status Change' task hyperlink to continue.

While completing a 'For Status Change' task, you have to follow the steps for changing a file status. Once the status for that particular file is changed, the task will then be marked as completed accordingly.
