Upload a File with Attribute Details from User Interface

This article helps you understand how to publish files by including their attribute details.

Pre-requisites:

Permission as mentioned below, on the project folder in which a file is to be published:

  • To publish files, 'Publish' or 'Publish & Link' or 'Admin' permission.
    Folder permissions defined at the default or the role level can be overridden. Click here for detailed help (See point 4).

Below are the steps to publish a file along with its attribute details:

1. Select the project and destination folder.

2. On the files listing area, click the 'Upload' dropdown at the top right and select 'Files'.

3. The listing page displays a page where you can select files for publishing.

4. Select the files to be published and drag them to the 'Upload' window or click the 'Select Files' button to browse and select required files.

The 'Upload' window shows details of the new file selected for publishing, including the file name, the folder path where it is about to be published, and the project name.

If you need to stop publishing a file once it is selected for upload, click the icon opposite the file name at this stage.

If the selected folder is enabled for 'Simple Upload', you can click the icon on the 'Upload' interface to publish files by including their attribute information.

5. Capture file details i.e. Doc Ref, Rev, Doc Title, Purpose of Issue, Status, Mark File as Private, Rev Notes, Upload Secondary File and enter additional details if applicable.


Doc Ref

'Doc Ref' stands for document reference. Enter a unique 'Doc Ref' in the selected folder. Each file record is identified and tracked using its Doc Ref value. The Doc Ref is also matched when a file revision is being published (See how to publish a revision of an existing file) If you need to, click the 'Select existing Doc Ref' icon to select from existing document references.
Note: The 'Doc Ref' field will appear disabled if an attribute set is applied to the concerned folder, or if you are publishing a revision of an existing file.

Rev

'Rev' stands for revision number. You can enter an alphanumeric revision number to help identify the file revision that you are publishing.

Doc Title

'Doc Title' stands for the document title. You can enter a title specific to the document you are publishing. Alternatively, click the icon in the column header to copy the doc ref of the corresponding file as the 'Doc Title'.

Purpose of Issue

'Purpose of Issue' indicates the purpose for publishing the selected file. Project administrators can configure values for the 'Purpose of Issue' field. Click here to understand how to manage the purpose of issues.

Status

'Status' indicates the status of the file being published. Project administrators can configure the values for the 'Status' field. You can click here to understand how to manage file statuses.

'Publish as Private' checkbox

Select the 'Publish As Private' checkbox against a file record to mark it as private. A private file can only be accessed by:
(a) file publisher and
(b) folder administrator and
(c) users to whom the file was distributed and
(d) users to whom file visibility was specifically assigned

Rev Notes

'Rev Notes' stands for revision notes. You can enter notes specifically related to the file revision you are publishing.

Secondary File

Upload a secondary file or an attachment for the selected file.

Depending on the configurable attributes the project administrator defines for the selected folder, you may need to provide additional details while uploading files. If you are a project administrator, you can click here to understand how to manage configurable attributes.


You can upload secondary files in bulk. Click the icon in the column title. It populates a layered page as shown below.

You can select the files you want to upload as secondary files in bulk. Secondary files are

limited to 1 secondary file per primary file. If you have multiple secondary files for one primary file, you can upload them as a single .zip file.

Asite automatically identifies the secondary files if their file names match any of the primary files in the 'Upload' screen with or without extension.

For example, if you upload a file called Section_1.dwg, Asite can identify the secondary file if it is uploaded with the name 'Section_1' while the file extension may be the same or different. If the secondary file name selected for upload doesn't match any of the primary file names chosen, such secondary files must be uploaded separately from the 'Upload' screen.

6. By clicking the icon, you can apply value to a particular attribute through the 'Bulk Apply' option.

To apply values in bulk for a specific field (like Doc Ref), go to the column header in the bulk apply section. Enter your desired value and click the down arrow icon next to that column header.

To remove values in bulk from a field, go to the relevant column header, leave the value blank, and click the corresponding down arrow icon.

If you want to apply values in bulk to multiple columns at once, check each relevant column header in the bulk apply section, enter the needed values, and click the 'Apply to All' option at the top left.

To remove values in bulk from several columns simultaneously, go to each column header, leave the values blank, and then click the 'Apply to All' option at the top left. Remember, applying values in bulk does not overwrite any existing values in the selected files. If needed, remove those existing values first and then apply new values in bulk.

7. Click on 'Upload' to publish selected files with attributes. While doing so, an activity center will appear. It displays the progress of each file's upload and automatically disappears once they are published successfully.
