Pre-requisites:
Permission as mentioned below, on the project folder in which a file is to be uploaded:
To upload or publish files, 'Publish' or 'Publish & Link' or 'Admin' permission.
Folder permissions defined at default level or at role level can be over-ridden. Click here for detailed help (See point 4).
Below are the steps to upload a file using attribute details:
1. To upload files with attributes, you need to select the project and destination folder.
2. On files listing area, click on 'Upload' dropdown at top right and select 'Files' to upload files to Asite. This option validates for your permission to upload new files to the selected folder.
3. The listing page displays a page with upload window.
4. Select the files to be uploaded and drag them to the upload area or click 'Select Files' button to browse and select required files.
The selected file's name will appear in the 'Upload' window. You have an option to remove it from selection before it gets actually uploaded, by clicking on icon opposite the file name.
In case the selected folder is enabled for simple upload, click on icon on the upload interface to upload files with attribute information.
Once the 'Upload' window is open, you can reverify the project folder path from the title displayed at the top (See above snapshot).
5. Capture file details i.e. Doc Ref, Rev, Doc Title, Purpose of Issue, Status, Mark File as Private, Rev Notes, Upload Secondary File as well as enter additional details if applicable.
Doc Ref
Stands for document reference. Enter a document reference which should be unique in selected folder. Each file record is identified and tracked using its Doc Ref value. Also, the Doc Ref is matched when a file revision is being uploaded (See how to upload revision of an existing file) Click on icon to select from existing document references if required.
Note: 'Doc Ref' field will appear disabled if an attribute set is applied on the concerned folder and if it is configured as a compound attribute, or if you are uploading revision of an existing file.
Rev
Stands for revision number. User uploading the file revision can enter an alpha-numeric revision number to identify the file revision they uploaded.
Doc Title
Stands for document title. Enter a specific title for the document you are uploading. Else click on icon at the column header to copy the doc ref as doc title.
Purpose of Issue
Indicates the purpose for which selected file is selected to upload. Project administrators can configure the values for 'Purpose of Issue' field. See how to manage purpose of issues.
Status
Indicates the status of selected file. Project administrators can configure the values for 'Status' field. See how to manage file statuses.
'Publish as Private' checkbox
Select the 'Publish As Private' check box to mark file as private. A private file can only be accessed by:
(a) file publisher and
(b) folder administrator and
(c) users to whom file was distributed and
(d) users to whom file visibility was specifically assigned
Rev Notes
Stands for revision notes. User uploading the file revision can enter notes specifically related to the file revision they are uploading.
Secondary File
Upload a secondary file or an attachment for the selected file.
Depending on the configurable attributes defined by your project administrator for selected folder, you may need to fill in further details while uploading files. To learn more, see how to manage configurable attributes.
6. You can upload secondary files in bulk. Click on icon in the column title and it will populate a layered page as shown below.
Select the files you want to upload as secondary files in bulk. Secondary files are
limited to 1 secondary file per primary file. If you have multiple secondary files for one primary file, it is advisable that you upload them as a single .zip file to avoid any confusion.
Asite automatically identifies the secondary files if the file name matches any of the primary file in the 'Upload' screen with or without extension.
For example, if you are uploading a file called Section_1.dwg, Asite can identify the secondary file if uploaded with the name 'Section_1' while the file extension may be same or different. If the secondary file name selected for upload doesn't match with any of the primary file names selected for upload, such secondary files need to be uploaded separately from the 'Upload' screen.
7. You can apply value to particular attribute through bulk apply by just clicking on icon. By clicking on icon, values of particular attribute will get applied to all selected files.
Fill all mandatory values and click on 'Apply to All' button to apply entered values to all attributes of selected files.
Note: Bulk apply works only when the fields are empty, if there are other values for any file attributes which you need to overwrite, keep the 'Apply to All' box empty and click on icon. It will blank out this field for all files, now you can enter required value in 'Apply to All' box and click icon again.
8. Click on 'Upload' to upload files with attributes. While doing so, an activity center will appear. It displays the progress of upload of each of those files, and automatically disappears once files are uploaded successfully.
