A. Create New '11 Extend Period for Reply'
It can be created by users in the Project Manager and Contractor role in case they need to raise a reply period extension before responding to an existing '05 NCE by Contractor' / responding to an existing '09 Quotation by Contractor' / responding to an existing '13 Contractors Communication'.
This type of form can be raised by going to the 'Project Forms' or 'Contracts' area, as applicable.
Expand the 'C. Compensation Event Process' group and select '11 Extend Period for Reply' type.
Click on '+ Create Form' to create a new '11 Extend Period for Reply'.
B. Enter Details for '11 Extend Period for Reply'
This is where you enter details for extending the period of replying to a new compensation event. Below is a description of the available fields:
B1. Contract Search
To use the search options available - contract code and contract description - to search for the contract for which the reply period extension is to be raised. This would be specifically helpful in cases when you have a long list of contracts and you need to filter out the required contract from the list.
B2. Contract
To select the contract for which the reply period extension is to be raised. You cannot proceed further with this form without selecting a contract.
B3. To Contractor
To select a specific contractor for sending this reply period extension.
B4. Section
To select the section applicable in the contract for this reply period extension. Click here for detailed help on contract sections.
B5. User Ref
To enter details for user reference. This is an optional field.
B6. Subject
To enter the subject line for this reply period extension.
B7 Request extension to
Select an appropriate option. Available options are - 'Response Period for NCE', 'Response Period for Quotation' and 'Response Period for Contractor's Communication'.
Request extension to the response period for notification of the compensation event
B7.1 Select notification of compensation event
Select the compensation event for which a reply date extension is required.
B7.2 Extend to date of reply
Select the new reply date required after the extension.
B7.3 Requested extension (days)
This will be auto-filled based on the date value you select under 'Extend to date of reply'.
B7.4 Project Manager's comments
To enter comments, if any.
B8. Response Required from Contractor?
Keep this checkbox selected if you need a response from the contractor; uncheck the box if no response is required.
Entering Reference Document Details

To add new reference document details, you need to click the 'Click here to add Reference Document details' option at the bottom left of this form section. It will add a new row wherein you can fill in details regarding the description of the reference document and include a hyperlink for the same.

B9.1 Description
To enter a description of the reference document that you are adding.
B9.2 Hyperlink
To enter a hyperlink for the corresponding reference document description.
B10 The date by which the Contractor is to respond to this notification is
Displays the date by which the contractor has to respond to this reply date extension notification.
C. Submit Details for '11 Extend Period for Reply' / Save Details as Draft
Once you have entered the required details, click the 'Send' button to save/submit the details. This will send a 'Respond' task to the Project Manager. Also, the form will be distributed separately as per the distribution list entered while creating the form, if any.
In case you plan to edit and submit later, use the 'Save Draft' button to save the details as a draft. In such a scenario, you have an option to get the draft message reviewed by some other user by assigning them the 'Review Draft' task. Users who are added as 'Draft Only' members in the contract management team will only be able to save the form details as a draft and cannot 'Send' the form.
Click 'Cancel' if you want to entirely cancel the form under creation. Clicking on 'Cancel' will prompt the user to confirm once again, as any unsaved data in the form under creation will be lost forever once it is cancelled.
D. Edit Draft of '11 Extend Period for Reply'

E. View Existing '11 Extend Period for Reply'
To open an existing '11 Extend Period for Reply' form for viewing, click on the form title from the relevant listing area. The form will open in view mode as shown below.

Click on the contract number to view related contract details. Similarly, click any form ID with a hyperlink to open the related form as applicable.
F. Respond to an Existing '11 Extend Period for Reply'
It can be responded to by a user in the Contractor role who has been specifically selected by the Project Manager while raising the reply date extension.
To respond to a quotation, go to the 'Project Forms' or 'Contracts' area as applicable.
Expand the 'C. Compensation Event Process' group and select '11 Extend Period for Reply' type.
From the forms listing, go to the required reply date extension and click on the 'Respond' task assigned to you.
Alternately, follow the steps to view the existing '11 Extend Period for Reply' form, then select 'Reply' or 'Reply All' from the 'Task' menu.
F1. The Contractor hereby ____ to an extension of the period for response
Select an appropriate option. Available options are - Agrees, Disagrees.
F2. Comments
Enter comments if any.
Entering Reference Document Details
F3. Insert New Reference Document
To add new reference document details, you need to click the 'Insert New Reference Document' option at the bottom left of this form section. It will add a new row wherein you can fill in details regarding the description of the reference document and include a hyperlink for the same.

F3.1 Description
To enter a description of the reference document that you are adding.

To enter a hyperlink for the corresponding reference document description.
Once you have entered the required details, click the 'Send' button to save/submit the response details. If a contractor has agreed to the reply date extension, the PM's NCE reply due date would accordingly show updated in the 'Compensation Event Log' when viewing related '01 Contract Data & Report', as well as in the related '05 NCE by Contractor'. Also, the due date for the 'Respond' task assigned to the Project Manager on the '05 NCE by Contractor' would be updated accordingly.
Click 'Cancel' if you want to entirely cancel the response under creation. Clicking on 'Cancel' will prompt the user to confirm once again, as any unsaved data in the form response under creation will be lost forever once it is cancelled.
